Job Title: Procurement & Accounts ClerkJob Summary

We are seeking a detail-oriented Procurement & Accounts Clerk with a strong accounting background to support our operations team. The ideal candidate will be responsible for managing purchase orders, coordinating with suppliers and drivers, and ensuring all invoices and supporting documents are accurately collected, recorded, and filed.

Key Responsibilities

Procurement & Purchasing

  • Assist in preparing and issuing purchase orders (POs)
  • Track and monitor all purchases to ensure timely delivery
  • Liaise with suppliers to confirm orders, pricing, and delivery schedules
  • Maintain an updated supplier database and pricing lists

Supplier & Logistics Coordination

  • Follow up with suppliers on outstanding orders and deliveries
  • Coordinate with drivers to confirm collection and delivery of materials
  • Ensure all deliveries are properly documented (delivery notes signed, etc.)

Accounts & Invoice Management

  • Collect all supplier invoices and match them with purchase orders and delivery notes
  • Ensure all invoices are received on time and correctly recorded
  • Flag any discrepancies between invoices, POs, and deliveries
  • Assist with capturing invoices into the accounting system
  • Maintain organized filing (digital and/or physical) of all supporting documents

Reporting & Administration

  • Prepare weekly reports on outstanding invoices and purchases
  • Assist management with cost tracking and budget monitoring
  • Support general administrative and accounting tasks as required

Requirements

  • Diploma or certificate in Accounting, Finance, or a related field
  • 2+ years experience in a similar role (procurement, accounts clerk, or admin)
  • Strong understanding of basic accounting principles
  • Experience working with invoices, purchase orders, and reconciliations
  • Proficiency in Microsoft Excel and accounting software (e.g., Sage, QuickBooks, or similar)
  • Strong organizational and follow-up skills
  • Good communication skills (for dealing with suppliers and drivers)
