CTAM Inc. is seeking a highly organized and customer-focused Fulfillment Specialist to join our team in our Hamburg, New York office. This is an in-office position where you’ll play an important role in ensuring our customers receive exceptional service after their orders have been placed.

Primary Responsibilities
As a Fulfillment Specialist, you will be responsible for supporting customers after they place their orders by proactively resolving issues and keeping orders moving efficiently.
Your responsibilities will include:
- Processing no-stock and back-ordered items
- Contacting customers regarding unavailable products
- Offering suitable product substitutions when available
- Coordinating with vendors to obtain updated lead times
- Monitoring open orders to ensure timely fulfillment
- Investigating shipping issues including lost, delayed, damaged, or misdelivered packages
- Working directly with UPS, FedEx, USPS, freight carriers, and other shipping partners to resolve delivery issues
- Processing customer returns, exchanges, and replacement orders
- Assisting customers with warranty claims and damaged merchandise
- Reviewing and updating purchase orders and sales orders after they have been entered
- Communicating with customers regarding order status updates
- Collaborating with purchasing, warehouse, and customer service teams to resolve fulfillment issues
- Maintaining accurate records within our order management system
- Performing other order support and fulfillment-related administrative duties as assigned
Qualifications
We’re looking for someone who is:
- Exceptionally organized and detail-oriented
- Professional and courteous with excellent written and verbal communication skills
- Comfortable speaking with customers by phone and email
- Able to manage multiple priorities in a fast-paced environment
- A strong problem solver with a positive attitude
- Proficient with computers and comfortable learning new software systems
- Reliable, punctual, and able to work independently while contributing to a team environment
Previous experience in customer service, e-commerce, logistics, shipping, purchasing, or order processing is preferred but not required.
