Job Purpose

The Facilities Manager (Property) is responsible for overseeing the maintenance, safety, security, and day-to-day operations of residential, commercial, or industrial properties. The role ensures that buildings and facilities are well maintained, compliant with health and safety regulations, and operating efficiently to provide a safe and functional environment for tenants, staff, and visitors.

Key Responsibilities

  • Oversee the daily operations and maintenance of buildings and facilities.
  • Ensure all properties are maintained to high operational and presentation standards.
  • Manage planned preventative maintenance schedules.
  • Coordinate repairs, maintenance, and refurbishment projects.
  • Conduct regular property inspections and identify maintenance requirements.
  • Monitor building systems including HVAC, electrical, plumbing, generators, and fire systems.

Contractor & Vendor Management

  • Appoint and manage contractors, suppliers, and service providers.
  • Monitor contractor performance and ensure service delivery standards are met.
  • Negotiate service agreements and maintenance contracts.
  • Ensure all contractors comply with health and safety requirements.

Health, Safety & Compliance

  • Ensure compliance with Occupational Health & Safety regulations and property legislation.
  • Conduct risk assessments and implement corrective actions.
  • Manage fire safety systems, emergency procedures, and evacuation plans.
  • Ensure compliance certificates and statutory inspections are up to date.

Budget & Financial Management

  • Prepare and manage facilities and maintenance budgets.
  • Monitor maintenance costs and identify cost-saving opportunities.
  • Approve invoices and manage procurement of maintenance supplies and services.
  • Track expenditure against budgets and provide financial reports.

Tenant & Stakeholder Management

  • Build and maintain positive relationships with tenants and stakeholders.
  • Address tenant queries, complaints, and maintenance requests promptly.
  • Coordinate tenant fit-outs and property-related projects.
  • Ensure high levels of tenant satisfaction and service delivery.

Security & Operational Management

  • Oversee security operations and access control systems.
  • Ensure cleanliness, landscaping, waste management, and general property upkeep.
  • Manage backup systems including generators and water supply systems.
  • Ensure business continuity and operational readiness of facilities.

Minimum Requirements

  • Diploma or Degree in Facilities Management, Property Management, Building Management, Engineering, or related field.
  • Minimum 5 years’ experience in facilities or property management.
  • Experience managing commercial, residential, retail, or industrial properties.
  • Knowledge of building systems, maintenance practices, and property legislation.
  • Proficiency in Microsoft Office and property/facilities management systems.
  • Valid driver’s licence.
