Role Description

This is a full-time, on-site Administrative Secretary and Personal Assistant role based in Sea Point, Cape Town. The position extends beyond traditional office administration and requires a highly organised, adaptable, and discreet individual capable of managing a wide range of business and personal support responsibilities within a fast-paced luxury jewellery environment.

The successful candidate will provide direct support to the owner and internal team, assisting with both daily operations and more complex administrative coordination across the business.

Qualifications

  • Maintaining filing systems, records, client information, and administrative documentation
  • Preparing valuations, reports, spreadsheets, and general business documentation
  • Coordinating calendars, appointments, meetings, and schedules for the owner and team members
  • Assisting the showroom and design team with administrative support
  • Supporting international shipping logistics and related documentation
  • Assisting with inventory-related administration, including diamond sorting and organisational tasks
  • Providing administrative support for special projects, including website and operational initiatives
  • Assisting the owner with business and personal administrative matters as required
  • Managing sensitive information with professionalism, discretion, and confidentiality
  • Supporting the smooth day-to-day functioning of both front-office and back-office operations

Qualifications & Requirements

  • Proven experience in high-level administrative assistance, executive support, or personal assistant roles
  • Strong organisational and multitasking abilities within a demanding environment
  • Excellent verbal and written communication skills
  • Strong clerical skills, including filing, data capturing, and document preparation
  • High level of accuracy and attention to detail
  • Ability to work independently, prioritise effectively, and adapt to changing demands
  • Proficiency in office software, including email, word processing, and spreadsheets
  • Ability to handle confidential and sensitive information with discretion
  • Previous experience within a luxury, retail, jewellery, or design-related environment would be advantageous
  • Relevant certificate, diploma, or equivalent professional experience preferred
