Role Overview
Our client, a well-established organization operating within the property and energy sectors, is seeking an experienced and highly professional Executive Assistant to provide strategic and operational support to the Director.
The organization has a diverse portfolio across commercial property, energy solutions, and premium client services, including valet parking operations. This role requires a proactive individual who thrives in a dynamic business environment and can confidently manage executive priorities while maintaining the highest levels of professionalism, confidentiality, and efficiency.
The successful candidate will demonstrate exceptional organizational skills, sound judgement, and the ability to build strong relationships with internal teams, tenants, service providers, business partners, and executive stakeholders.
Key Responsibilities
Executive Support
- Provide comprehensive administrative and strategic support to the Director/Founder
- Manage complex and frequently changing calendars, meetings, and travel arrangements
- Coordinate high-level engagements, board meetings, and stakeholder interactions
- Prepare executive reports, presentations, and briefing documents
- Screen and prioritize correspondence, calls, and requests
Operational & Strategic Coordination
- Track deliverables and ensure follow-through on key initiatives
- Liaise with internal departments and external stakeholders on behalf of the executive
- Assist in project coordination and monitoring of deadlines
- Handle sensitive and confidential information with absolute discretion
Governance & Compliance
- Support documentation management and record keeping
- Assist with regulatory or industry-related documentation where required
- Participate in background screening and verification processes as part of compliance requirements
Minimum Requirements
- Minimum 5–10 years’ proven experience supporting C-suite executives or business founders
- Previous experience within the property, commercial real estate, facilities management, construction, energy, engineering, or related sectors will be highly advantageous.
- Experience in high-pressure, fast-paced corporate environments
- Exceptional organizational and time management skills
- Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Strong written and verbal communication skills
- Demonstrated ability to manage confidential information
