About the Role

We are looking for a highly organized, resourceful, and proactive Executive Assistant to support a fast-moving founder managing multiple brands, manufacturing operations, product launches, e-commerce channels, marketing teams, international suppliers, and strategic growth initiatives.

This is not a traditional assistant role.

You will be the right hand to the Founder, helping manage a business ecosystem that includes skincare brands, manufacturing, product development, marketing agencies, affiliate programs, supply chain operations, hiring, and special projects.

The ideal candidate thrives in chaos, solves problems independently, anticipates needs before being asked, and can keep dozens of moving pieces organized simultaneously.

You must be hungry, highly intelligent, detail-oriented, and willing to learn quickly.

What You’ll Be Responsible For

Executive Support

  • Manage Founder’s calendar, meetings, priorities, and travel
  • Protect the Founder’s time and ensure focus on highest-value activities
  • Coordinate meetings with agencies, suppliers, employees, partners, and contractors
  • Prepare agendas, meeting notes, action items, and follow-ups
  • Track deadlines and ensure projects move forward without constant oversight

Operations & Supply Chain

  • Communicate with domestic and international suppliers
  • Track purchase orders, inventory, production timelines, and shipments
  • Coordinate with freight forwarders and warehouses
  • Organize manufacturing documents including COAs, invoices, testing reports, and compliance documentation
  • Assist with sourcing products, packaging, and vendors

Marketing & E-Commerce Support

  • Coordinate with marketing agencies, media buyers, and creative teams
  • Track campaign performance and reporting
  • Manage content production schedules
  • Assist with affiliate and influencer operations

Required Qualifications Experience

  • 3+ years as an Executive Assistant, Project Manager, or similar role

Technical Skills

Must be highly proficient in:

  • Google Workspace
  • Microsoft Office
  • Excel / Google Sheets
  • Notion
  • ClickUp, Asana, Monday, or similar project management software
  • Slack
  • Claude and AI productivity tools

Bonus Experience:

  • Shopify
  • Klaviyo
  • Amazon Seller Central
  • TikTok Shop
  • Inventory management systems
  • Freight/logistics coordination
  • Experience supporting founders, executives, entrepreneurs, or fast-growing companies
  • Proven experience managing multiple projects simultaneously
  • Startup, e-commerce, agency, or manufacturing experience strongly preferred
