Job Description
CAPRISA is an award-winning global research organisation located on the campus of the Nelson Mandela School of Medicine in Durban, South Africa and undertakes research in HIV, TB and Covid at four clinical research sites in KwaZulu-Natal.
CAPRISA’s goal is to undertake globally relevant and locally responsive research that contributes to understanding HIV Vaccines and Pathogenesis, Prevention and Epidemiology, the links between Tuberculosis and AIDS treatment and Covid-19. CAPRISA is a UNAIDS Collaborating Centre for HIV Research and Policy and is recognised as a DSI-NRF Centre of Excellence in HIV Prevention and hosts the SAMRC HIV-TB Pathogenesis and Treatment Research Unit.
The ideal candidate will proactively provide extensive executive secretarial and office administrative support to the executives and other heads of departments ensuring efficient management of their offices.
Minimum Requirements
- A National Diploma or Degree in Business Administration, Business Science, Commerce, or other related fields.
- At least 5 years executive secretarial and/or office administration experience supporting senior executives in a professional environment.
- Experience with senior executive’s diary management and liaising with internal/external stakeholders.
- Experience in travel management, local and international.
- Advanced computer literacy with proficiency in MS office Suite (PowerPoint, Excel, Word and Outlook).
- Must have a valid driver’s license.
- Knowledge of SAP Business System will be an advantage.
- Experience in research or in data analysis will be an advantage.

Duties & Responsibilities
- Provide administrative support and general day-to-day management in the Executives Offices.
- Planning and co-ordination of various meetings, ensuring that the relevant delegates are invited, venues are booked, and that refreshments are arranged.
- Registration and RSVP’s for Conference and Meeting attendance.
- Manage local and international travel, accommodation, visa and transport arrangements as required.
- Manage and process subsistence and travel advances and claims.
- Communication with key internal and external stakeholders.
- Preparation of documents, letters, agendas, memos, reports, emails and taking minutes of meetings as required.
- Maintain a secure, efficient, and accurate filing system (electronic and/or hardcopy as required).
- Manage ad-hoc projects or other administrative tasks as required.
