DEPARTMENTAL ADMINISTATOR B (ONE PERMANENT FULL-TIME POSITION) PEROMNES POST LEVEL 10

The Department of Speech-Language Pathology and Audiology at the University of Pretoria offers prospective students world-class training for a professional qualification in audiology or speech-language therapy. Postgraduate research-based degrees are also offered by the department, under the guidance of experienced academic staff.
RESPONSIBILITIES:
The incumbent will be responsible for:
- Rendering a professional, efficient, and client-focused enquiry service to students and clients;
- Sending and receiving documents from academic institutions and receiving documents and parcels from service and product providers;
- Receiving, welcoming, and directing clients and visitors to the appropriate personnel or locations;
- Providing copying and printing services for academic staff members upon request;
- Assisting with the planning, organisation, and coordination of the annual oath-taking ceremony;
- Overseeing the management and functionality of HDMI cables and data projector remotes in lecture halls;
- Taking minutes of meetings;
- Printing name boards for staff members and clinics upon request;
- Securing and managing access to all office, clinic, and lecture room keys within the building;
- Capturing and maintaining data on the departmental Regulatory Information Management System on an ongoing basis;
- Scheduling and confirming client appointments via the online clinic system;
- Ensuring that client information is accurately captured and verified prior to appointments;
- Issuing access codes to visitors, clients, and students prior to scheduled appointments;
- Monitoring client waiting times and resolving delays to ensure service efficiency and client satisfaction;
- Receiving payments for services rendered and maintaining accurate records of all financial transactions;
- Providing first aid and emergency response support as required;
- Serving as the Department’s Health and Safety Officer and ensuring that staff are informed of and comply with relevant protocols;
- Assisting the Financial and Clinic Administrator with the preparation and processing of requisitions and claims.
MINIMUM REQUIREMENTS:
- Relevant National 3-year Diploma, with at least two (2) years’ office administration and secretarial experience.
- Grade 12 with a minimum of four (4) years’ office administration and secretarial experience.

- The ability to maintain important levels of discretion and confidentiality;
- Knowledge of health care operations;
- Proficiency in computer software applications;
- Knowledge of clinic administration processes;
- Sound working knowledge of relevant University of Pretoria (UP) systems;
- Knowledge of relevant clinic systems.
ADDED ADVANTAGES AND PREFERENCES:
- Experience in a tertiary education institution;
- Bachelor’s degree in Administration;
- A valid Driver’s licence;
- First Aid certification;
- Health and Safety Officer training.
The annual remuneration package will be commensurate with the incumbent’s level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
