Job Summary
We are seeking a reliable, organized, and detail-oriented Warranty & Customer Accounts Coordinator to join our team.
This position plays an important role in supporting both customer service and accounts receivable functions. The ideal candidate will be comfortable using QuickBooks, communicating with customers, processing warranty claims, handling product returns, and assisting with customer account follow-up.
This role works closely with customers, sales representatives, warehouse staff, and suppliers to ensure smooth daily operations and excellent customer service.
Responsibilities
Customer Accounts & QuickBooks
- Create customer invoices and credit memos in QuickBooks.
- Receive and apply customer payments.
- Maintain accurate customer account records.
- Follow up on outstanding invoices and past-due accounts.
- Assist with accounts receivable reporting and account reconciliation.
- Communicate professionally with customers regarding account questions and payment status.
- Warranty & Returns Processing
- Process warranty claims and coordinate replacement products.
- Communicate with customers regarding warranty requests and claim status.
- Receive and document returned merchandise.
- Coordinate with warehouse staff to inspect, sort, and process returned products.
- Identify products that can be restocked after inspection and repackaging.
- Report damaged or defective items for proper disposition.
- Administrative Support
- Maintain organized records of warranty claims, returns, and customer accounts.
- Respond to customer inquiries by phone and email.
- Support sales and operations teams as needed.
- Perform general office and administrative duties.

Pay: $20.00 – $24.00 per hour
