The Tender Officer must assess what information is required, coordinate the response material from all parties involved, and ensure that the completed submission puts forward the best possible response in terms of completeness, appropriateness and that it demonstrates the best beneficial options to the purchaser. The Tender Officer must also make sure that deadlines are met as well as manage visual presentation of hard copy and digital versions of the response documents.
The Tender Officer must build relationships with internal departments and with the external tendering body or authority to ensure the highest quality of work is achieved. Check various Tender Search systems on a daily basis and identify any contracts, which may be of interest to the Company, either to bid or for market intelligence purposes. An ability to chair and take minutes at Tender Steering Meetings as well as ensuring accurate up to date records are kept of all action points.
To follow relevant procedures for Tender compilation and authorisation. Responsible for ensuring tenders are submitted consistently ahead of the deadlines set by the tendering authority or body. To maintain confidentiality at all times.
Job Responsibilities
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
- Review of information about demands and origin of supply and proposal preparations.
- Clarification of bid conditions and management of the tender preparation.
- Monitoring of the bid management in order to ensure it is aligned with the tender requirements.
- Contribution in cost and price calculations.
- Coordination of tender reviews, deadlines, and adjust them to the frameworks given by the customers.
Candidate Requirements
To perform this job successfully, an individual must meet the minimum qualifications. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education and/or Experience
- University education in a relevant discipline
- Relevant business knowledge and experience in a similar role
- Practical experience in a similar position advantageous
- 3 – 5 years of experience in a similar role
- A sound knowledge of the heavy truck and bus industry
