Policy and Procedure Lifecycle Management and Integration

Design and Enablement of Integrated HR Frameworks
HR Governance Pathways, Quality Assurance and Compliance
- Managing and coordinating governance pathways and the end-to-end submission process for HR governance and management documents (policies and procedures).
- Ensuring submission readiness, quality assurance and compliance with institutional governance frameworks.
- Maintaining governance trackers, calendars, consultation records and decision logs.
- Serving as a liaison with the Centre for Governance, Ethics and Compliance on governance pathways and approvals.
- Identifying and flagging governance, compliance and version-control risks, and escalating these with evidence-based recommendations.
Policy and Procedure Lifecycle Management and Integration
- Establishing and maintaining an integrated HR policy and procedure register, including ownership, versioning and review cycles.
- Coordinating review cycles with policy and procedure owners.
- Conducting research and benchmarking to support evidence-based policy and procedure development.
- Identifying duplication, gaps and inconsistencies across HR policies and procedures and facilitating resolutions.
- Providing analytical insights to strengthen alignment, clarity and governance of HR policies and procedures.
HR Intranet and HR Web Governance
- Managing HR documents across the HR Intranet and HR pages on the SU website in line with institutional standards and accessibility requirements.
- Coordinating publishing workflows, access management and content governance practices.
- Monitoring link integrity, version control and document archiving in collaboration with relevant institutional partners.
- Supporting the continuous improvement of HR digital platforms through analytics, monitoring and evidence-based recommendations.
- Supporting communication related to new or updated HR policies and procedures.
Strategic Reporting and Enablement Support
- Supporting strategic HR reporting through coordination, evidence consolidation and drafting.
- Maintaining and updating the integrated strategic HR priorities project plan.
- Tracking project progress, risks, dependencies and bottlenecks across strategic HR initiatives.
- Preparing briefing notes, options analyses and consolidated KPI updates for governance and management reporting.
Design and Enablement of Integrated HR Frameworks
- Supporting the design, implementation and continuous improvement of integrated HR frameworks, templates and toolkits.
- Maintaining and quality-assuring governance templates and repositories.
- Supporting the maintenance and alignment of the HR Delegations of Authority framework.
- Conducting alignment checks across policies, procedures and templates to mitigate consistency and implementation risks.
Job Requirements/Pos Vereistes
- A relevant postgraduate qualification (NQF 8) in human resources, governance, public administration or a related field.
- At least five years’ relevant experience in HR, or relevant and related governance processes.
- Experience of working with governance structures in complex organisations, preferably within the higher education environment.
- Experience in project management and coordination, including planning, tracking and managing multiple priorities and deadlines.
- Knowledge of HR-related legislation, governance frameworks and policies governing HR management practice, with the ability to interpret and apply governance requirements and delegations of authority.
- Strong analytical, research, benchmarking and reporting capability.
- Advanced written communication skills, with the ability to synthesise complex information into clear and structured documentation.
- Strong stakeholder engagement, facilitation and relationship-building skills with demonstrated ability to work independently and collaboratively.
- Demonstrated discretion and professionalism in handling sensitive and confidential information.
- Proficiency in the MS Office suite and document-management practices.
- Excellent verbal communication in English, time-management and a pro-active approach to complex challenges.
