Overview
Sandak-Lewin Property Trust (Pty) Ltd is seeking an experienced Sectional Title Portfolio Assistant to provide essential administrative support to our Portfolio Managers and assist in managing a diverse portfolio of valued clients. This role requires the ability to multitask across several disciplines, including finance, insurance, maintenance, and general administration, ensuring efficient portfolio management and a high standard of client satisfaction. Only candidates with a minimum of three years’ experience in Sectional Title administration will be considered.
Key Responsibilities
Finance

Support Portfolio Manager with daily and monthly finance-related tasks

Process debits, credits, and recoveries on owner accounts

Handle levy increases, queries, and adjustments

Manage interest reversals and liaise with the team regarding debit order mandates
Insurance

Assist clients with insurance claims and verify claim validity

Obtain quotes and arrange contractor work following claims approval

Liaise with brokers regarding certificates and insurance valuations

Manage insurance renewals and ensure premium payments are processed timeously (annually and monthly)
Body Corporate Personnel

Assist trustees with matters relating to body corporate employees on site, including salaries, bonuses, and leave

Obtain quotes and manage contracts for cleaning, security, and other on-site services
Maintenance

Arrange site inspections and consultations for building maintenance requirements

Gather quotes for redecoration and general upkeep of common property

Manage scheme related maintenance matters and ensure compliance with trustee instructions
Administration

Manage queries relating to levies, body corporate matters, and trustee correspondence

Update contact information, assist with rules enforcement, and support the handling of legal matters

Coordinate the loading of new buildings into the company system

Ensure constitutional requirements are met and that documentation is accurately filed
Meetings

Assist in organising AGMs, SGMs, and trustee meetings

Prepare and circulate meeting notices, agendas, and AGM packs

Assist in distributing minutes following meetings, ensuring compliance with Portfolio Manager requirements

Ensure minute books are kept up to date
General Support

Provide ongoing support to Portfolio Managers and colleagues across departments

Address client concerns in a professional and efficient manner
Skills & Requirements

Experience: Minimum of three years’ experience in Sectional Title administration, with the ability to work independently to deadlines, prioritise tasks, and manage administrative responsibilities efficiently -
Transport: Own reliable transport is advantageous; applicants must already reside in Cape Town -
Qualification: A Sectional Title qualification or certification (e.g. Paddocks or equivalent) is preferred -
Client Relations: Proven track record in delivering a high standard of client service is essential
