1. Position Summary

The Sales Administrator / Coordinator supports the KIB sales and advisory team by managing sales administration, client follow-ups, email campaign leads, appointment setting, quotation tracking, proposal support and client communication.

The role requires a highly organised individual with strong administrative ability, professional communication skills and the confidence to engage prospects, follow up on leads and persuade potential clients to meet with the sales team.

3. Main Purpose of the Role

To ensure that all sales opportunities, client enquiries, marketing campaign responses, quotations and appointments are properly managed, tracked and followed up.

The role is designed to improve sales team efficiency, client response times, lead conversion and overall business development support.

4. Key Responsibilities

Sales Administration

  • Maintain and update the sales pipeline and lead register.
  • Capture new leads, referrals, enquiries and campaign responses.
  • Track prospects from initial contact to appointment, quotation, proposal or close.
  • Prepare sales reports and update management on lead activity.
  • Assist with advisor diaries, meetings and client appointments.

Lead Follow-Up and Appointment Setting

  • Follow up on leads generated from email campaigns, referrals, website enquiries and client databases.
  • Contact prospects by telephone and email to confirm interest and identify potential needs.
  • Use persuasive communication to explain KIB’s value proposition and encourage prospects to meet with the sales team.
  • Book appointments for advisors and sales consultants.
  • Send meeting confirmations, reminders and follow-up emails.
  • Record all contact attempts, responses, objections and appointment outcomes.

Quotation and Proposal Support

  • Request quotations from insurers, medical schemes, retirement fund providers and product partners.
  • Follow up on outstanding quotations and underwriting requirements.
  • Assist with preparing client proposals, comparison schedules and presentation packs.
  • Ensure proposals are accurate, professional and aligned with KIB’s corporate identity.

Client and Provider Communication

  • Act as a professional point of contact for sales-related queries.
  • Coordinate communication between clients, advisors, insurers and product providers.
  • Ensure clients and prospects receive timely feedback.
  • Escalate urgent or unresolved matters to the relevant advisor or manager.

Compliance and Record-Keeping

  • Assist with collecting FICA, disclosure, consent, mandate and needs-analysis documentation.
  • Keep client and prospect records updated.
  • Ensure sales files are complete, accurate and properly stored.
  • Maintain confidentiality of all client and company information.

6. Minimum Requirements

  • Matric / Grade 12.
  • 2–3 years’ experience in sales administration, client service, insurance, financial services or broker support.
  • Strong Microsoft Office skills.
  • Good telephone and email communication skills.
  • Experience in insurance, medical aid, employee benefits or financial services will be advantageous.
  • RE5 will be beneficial.
