About the Role
Advanced Assessments & Training is looking for a strong, hands-on QALA Manager to lead and stabilise our Learnership Enrolment, Quality Assurance, and Client Communication function.
This is a strategic operational role reporting directly to the General Manager and Executive Committee (EXCO).
The successful candidate will take ownership of the critical stage after recruitment, ensuring learners are onboarded, registered with SETAs, clients are updated, and projects run smoothly and compliantly.
Role Purpose
To manage the post-recruitment learner onboarding, enrolment, SETA/QCTO coordination, documentation quality assurance, and client communication processes.
This role ensures the smooth transition from Recruitment to Registration and drives operational excellence across learnership projects.
Key Responsibilities
1. Recruitment – Enrolment Handover Management
· Manage the handover process from the Recruitment team.
· Verify learner documentation received from recruitment.
· Ensure readiness for onboarding and enrolment.
· Establish clear handover checklists and quality standards.
· Work closely with recruitment to resolve documentation gaps.
2. Learner Onboarding & Enrolments
· Manage the learner onboarding and contracting process
· Ensure preparation and signing of:
o Learnership agreements
o Required supporting documents
· And ensure that enrolment packs are complete and submission-ready.
3. SETA Registrations & POR Management
· Lead submission of learner enrolments to SETAs.
· Drive the timely acquisition of Proof of Registration (PORs).
· Track and monitor all submitted projects until registration confirmation.
· Maintain an enrolment pipeline and tracking dashboard.
· Escalate delays and risks to the General Manager and EXCO.
4. Client Communication & Service Delivery
· Design and implement structured client communication processes.
· Ensure clients receive regular updates on:
o Learner onboarding.
o Enrolments and registrations.
o Project progress and risks.
· Establish communication SLAs and turnaround times.
· Enforce team accountability for client feedback.
· Manage escalations and improve client satisfaction.
5. SETA & QCTO Stakeholder Management
· Act as the primary operational liaison with SETAs and QCTO.
· Follow up on outstanding registrations and approvals.
· Build and maintain strong professional relationships.
· Provide regular progress and risk reports to leadership.
6. Process Improvement & Operational Excellence
· Identify bottlenecks causing delays and client dissatisfaction
· Develop and implement SOPs for:
o Recruitment handover
o Learner onboarding
o Document verification
o SETA submissions
· Client reporting and feedback
o Implement tracking tools and dashboards
o Improve turnaround times and operational efficiency
7. Team Leadership & Accountability
· Lead and manage the QALA team.
· Set KPIs and performance standards.
· Monitor productivity and turnaround times.
· Provide coaching and performance management.
· Build a high-performance, accountable team culture.
8. Reporting & Governance
· Provide weekly and monthly reports to EXCO on:
o Enrolments submitted vs approved
o Outstanding PORs
o Client communication turnaround times
o Operational risks and escalations
Minimum Requirements
Qualifications
· Diploma or Degree in HR, Education, Training & Development or related field
· ODETDP qualification (advantageous)
Experience (Critical)
· 5+ years of experience in learnership administration/skills development/training provider environments.
· 3–5 years proven management experience leading an operations or administration team.
· Proven experience working with SETAs and QCTO.
· Proven experience managing learner enrolments and registrations.
· Proven experience obtaining Proof of Registration (PORs).
· Proven experience improving operational processes.
· Proven experience managing client relationships and service delivery.
