Purpose of the Job
The Property Administrator will provide essential administrative support to ensure the smooth operation of a commercial property. This role involves coordinating day-to-day tasks, managing documentation, and assisting with tenant and vendor communications. The ideal candidate is detail-oriented, organized, and able to handle multiple responsibilities in a fast-paced environment.
Key Responsibilities
Tenant liaison
Assist with tenant queries, complaints, and requests, ensuring timely resolution.
Lease administration
Maintain accurate records of lease agreements, renewals, and terminations.
Financial administration
Support invoicing, rent collection, and expense tracking; assist with budget preparation.
Vendor coordination
Manage service providers and contractors, ensuring compliance with property standards.
Compliance monitoring
Ensure adherence to health, safety, and regulatory requirements.
Reporting
Prepare monthly property management reports and maintain accurate filing systems.
Office administration
Handle correspondence, scheduling, and general administrative duties.
MINIMUM REQUIREMENTS
- Matric (Grade 12).
- South African citizen.
- Diploma or degree in Property Management, Business Administration, or related field preferred.
- Minimum of 2+ years in property administration or commercial property management.
SKILLS REQUIRED
Administrative proficiency – Strong ability to manage filing systems, tenant records, contracts, and compliance documentation.
Financial literacy – Basic understanding of budgets, invoices, rent collection, and expense tracking.
IT competence – Comfortable using property management software, spreadsheets, and digital communication tools.
Communication skills – Clear written and verbal communication with tenants, contractors, and management.
Time management – Ability to prioritize tasks, meet deadlines, and handle multiple responsibilities.
Negotiation ability – Useful when liaising with service providers or resolving tenant concerns.
KNOWLEDGE
Proficiency in MS Office Suite; knowledge of property management software advantageous.
Soft skills: Strong communication, organizational, and problem-solving abilities.
Knowledge of property regulations – Familiarity with local laws, health & safety standards, and compliance requirements.
Problem-solving skills – Quick thinking to address maintenance issues or tenant queries.
Customer service skills – Ensuring tenant satisfaction and maintaining professional relationships.
Team collaboration – Working effectively with property management team and maintenance staff.
