About the Role

Projex is seeking a highly organized and detail-oriented Project Coordinator to support day-to-day project operations, client coordination, and administrative processes. This role is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities simultaneously, and enjoys keeping projects moving efficiently from initiation through completion.

The Project Coordinator will play a key role in order management, invoicing, RFP coordination, warranty administration, and overall project support while working closely with internal teams, clients, vendors, and installers.

Key Responsibilities

Project Coordination & Order Management

  • Manage order placement and ensure accuracy of project-related orders
  • Track orders and provide timely updates to internal teams and clients
  • Coordinate invoicing and billing management processes
  • Monitor receivables, retention, and project-related financial tracking
  • Maintain accurate project documentation and records

RFP (Request for Proposal) Coordination

  • Review and vet incoming RFPs to determine applicable project scope
  • Respond to RFP submissions, including professional decline responses when appropriate
  • Initiate the scope review, specification, and pricing process for Project Manager review and handoff
  • Assist with organizing proposal documentation and administrative follow-up

Service & Warranty Coordination

  • Coordinate scheduling between clients and installation teams
  • Submit and manage warranty claims
  • Order replacement parts for non-warranty service work
  • Track service and warranty requests to ensure timely resolution

Administrative Support

  • Complete and maintain GC (General Contractor) prequalification processes
  • Assist with external administrative and compliance-related tasks
  • Support internal project management workflows and operational processes

Qualifications

  • Previous experience in project coordination, operations coordination, construction administration, or a related role
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Experience managing invoices, billing, receivables, or project financial tracking
  • Ability to manage deadlines and prioritize effectively
  • Comfortable working independently in a fully remote environment
  • Proficiency with Microsoft Office, Google Workspace, and project management tools
  • Experience working with RFP processes is preferred
  • Experience in construction, manufacturing, installations, or service coordination environments is a plus
