The Opportunity: Project Coordinator:Region
The primary requirement for this position is the implementation of our client projects both on and off-site in line with signed off Client Service Level Agreements as well as project implementation plans / schedules. The role is responsible for operating within the confines of PMI’s Quality Management System which governs our accreditation and registration as a Skills Development Provider.
Expereince Required
- Matric, NQF5(Advantageous)
- 1 – 2 years’ experience
- Project management skills and exposure to project management environment
- Experience in education, training and development
- Experience working with SETA's advantageous
- Administration experience in an education institution
- Working knowledge of MS office with strong Excel skills
Duties & Responsibilities
Scoping and Project Management
Partner with Sales and the SDM to confirm project scope, deliverables, timelines, and client expectations. Develop and manage project plans in alignment with qualification requirements and SLAs. Ensure full compliance with SETA, audit, and internal QMS/SOP standards. Maintain accurate billing support documentation and provide continuous project updates to all relevant stakeholders, including clients, learners, COE, SMO, and Quality Management.
Project Initiation and Learner Onboarding
Conduct learner pre-assessments to confirm eligibility and provide recommendation reports to the Account Manager. Coordinate all onboarding activities, including inductions, venue arrangements, documentation preparation, learnership agreement sign-off, and learner registrations with relevant SETAs. Ensure all learner and facilitator documentation is completed, verified, and stored in accordance with QMS requirements.
Project Coordination and Administration
Oversee the preparation, collection, and quality review of all learner documentation, including attendance registers, evaluations, leave forms, and Portfolios of Evidence (PoEs). Ensure accurate LMS data capturing and effective handover to Administration for scanning, filing, and system uploads. Maintain audit-ready learner and QA files at all times.
Project Monitoring, Support, and Close-Out
Monitor learner attendance, performance, and facilitator delivery to ensure programme success. Identify and escalate learner risks, coordinate remediation interventions, and support facilitator and assessor briefings. Review assessed and moderated files for quality and completeness, manage SETA submissions, prepare documentation for internal and external moderation, capture exit results, and ensure proper archiving of all project documentation in line with compliance requirements.
