We are seeking an organized, detail-oriented Payroll & New Hire Clerk to oversee our onboarding processes and ensure accurate, timely payroll execution. The ideal candidate will be bilingual in English and Spanish as this role regularly communicates with both English and Spanish speaking employees. You will serve as the first point of contact for new employees, guiding them through hiring paperwork, while also managing timekeeping data, tax withholdings, and payroll processing.
Responsibilities include the following:
· Process weekly payroll by receiving, reviewing, and verifying time sheets, expense reimbursements, and advance requests.
· Maintain accurate employee records, including active, new hire, and inactive employee files.
· Update payroll records for changes in employee information, job titles, pay rates, tax exemptions, deductions, benefits, and direct deposit information.
· Assist with new hire onboarding, including collecting required hiring documents, verifying completion of forms, and entering new employee information into the payroll system.
· Communicate with employees regarding payroll questions, missing paperwork, timekeeping issues, and payroll discrepancies.
· Prepare payroll reports, including summaries of earnings, deductions, taxes, paid time off, and other payroll-related data.
· Calculate and review payroll liabilities, including employee taxes, Social Security, Medicare, unemployment, workers’ compensation, and related employer contributions.
· Investigate and resolve payroll discrepancies in a timely and professional manner.
· Maintain payroll operations in accordance with company policies, procedures, and applicable federal and state regulations.
· Process and issue W-2 forms to employees.
· Assist with processing and issuing 1099 forms as needed.
· Maintain confidentiality of employee payroll, tax, and personal information.
Required skills include:
· Knowledge of Sage Intacct or similar accounting software.
· Knowledge of standard accounting and payroll procedures.
· Bilingual in English and Spanish, with the ability to communicate fluently and professionally with Spanish-speaking employees.
· Strong communication and interpersonal skills.
· Proactive work ethic with the ability to take initiative.
· Proficient in Microsoft Word, Excel, and Outlook.
· Detail-oriented, organized, and accurate.
· Ability to prioritize and manage multiple tasks effectively.
· Ability to maintain professionalism and accuracy when working under deadlines.
· Ability to handle confidential payroll and employee information with discretion.
Job Type: Full-time

Schedule: 8 hour shift, Monday to Friday, Overtime if needed
Education: Associate (Preferred) or GED minimum
Experience: Payroll: 3 years (Preferred), Sage Intacct: 1 year (Preferred)
