Purpose Of The Position
The Payroll Administrator plays a vital role in supporting the Group Payroll Manager
in maintaining compliant and efficient payroll systems across the Westair Group of
Companies (WGC).
The successful candidate will be responsible for executing key payroll functions,
ensuring accurate processing in line with statutory obligations and internal policies.
This role requires close collaboration with internal stakeholders to understand their
needs and deliver tailored payroll solutions aligned with organizational goals. Strong
attention to detail is essential, as the position involves thorough record keeping, proper
filing, and maintaining payroll documentation to ensure transparency, compliance, and
audit readiness.
Additionally, the Payroll Administrator will be responsible for preparing accurate and
timely payroll reports for the Board of Directors, supporting strategic decision-making.
Duties and Responsibilities;
- Process payroll for new employees, terminations, and payroll changes
- Manage SSC registrations, terminations, EDI files, and Good Standing
Certificates
- Handle annual submission of Workmen’s Compensation and arrange payments
- Administer NHP Medical Aid registrations and terminations
- Facilitate employee tax registrations
- Issue staff loans and acknowledgements of debt
- Reconcile medical aid billings, retirement funds, and life cover
- Prepare payroll movement reports
- Liaise with Directors for payroll approval
- Address payroll-related queries
- Prepare and reconcile third-party payments (e.g., garnishees, PAYE, SSC, UIF,
pensions, medical aid, etc.)
- Compile payroll-related Board reports
- Manage annual salary increases and bonus processing
- Maintain and update employee files
- Compile and submit VET reports
- Register new companies with NTA/SSC
- Perform tax reconciliations and issue tax certificates
- Manage bi-annual and annual e-filing submissions
- Administer personal accident insurance
- Support Affirmative Action processes, including meetings and annual reports
- Perform ad hoc duties as required
Skills, Qualifications And Experience
- PaySpace experience (essential)
- Relevant qualification in Payroll, HR, or related field
- Minimum 3–5 years’ experience in a payroll or HR environment
- Additional payroll administration certification (advantageous)
- Strong knowledge of employment legislation
- Excellent verbal and written communication skills
- Solid understanding of payroll processes and HR best practices
- Strong problem-solving and negotiation skills
