Purpose of the Role

The Payroll Administrator is responsible for the accurate and timeous processing of the full payroll function, ensuring that employees are correctly remunerated and that payroll databases, records, and documentation are maintained accurately. The role also provides support to the Payroll Specialist, HR Department, and Finance Team with payroll-related processes, reporting, compliance, and administrative functions

POSITION INFO:

Key Responsibilities

Payroll Processing

  • Ensure all payroll functions are performed accurately and within required deadlines.
  • Capture and process payroll inputs accurately, including but not limited to:
    • Loading new employees
    • Salary increases
    • Earnings, commissions, incentives, and allowances
    • Deductions
    • Company contributions
    • Employee perks and fringe benefits
    • Terminations
    • MIBCO Council submissions
    • EMP201, EMP501, UIF, SDL, COIDA, and Skills Levy administration
  • Perform payroll reconciliations and validations.
  • Generate and manage:
    • ACB exports
    • General Ledger exports
    • Payroll reports
  • Handle payroll queries professionally and efficiently.
  • Maintain payroll records, filing systems, and archives.

Payroll Systems & Compliance

  • Operate and maintain SAGE 300 People Payroll/VIP systems effectively.
  • Ensure payroll processes comply with statutory legislation and company policies.
  • Apply knowledge of:
    • PAYE, SDL, UIF, and COIDA
    • Fringe benefits and medical aid taxation
    • Taxability of earnings and deductibility of deductions
    • BCEA, LRA, and MIBCO compliance requirements
  • Assist with tax year-end procedures and payroll reporting.
  • Validate clocking data and support ERS Biometrics clocking system administration where required.

HR & Audit Support

  • Support HR and Management with internal and external audits relating to payroll and HR documentation.
  • Assist with Employment Equity (EE) reporting, audits, inspections, and Department of Labour or Council enquiries.
  • Ensure alignment between payroll data, HR records, and EE reporting.
  • Provide administrative support for HR compliance and IR-related requests.
  • Assist with internal communication relating to HR and payroll initiatives.

Skills Development & SETA Administration

  • Manage and administer Skills Development Levies (SDL) in line with SETA requirements.
  • Liaise with SETAs, training providers, and internal stakeholders.
  • Prepare, submit, and monitor ATR and WSP reports within statutory deadlines.
  • Monitor training spend and grant claims where applicable.
  • Ensure payroll data, employee records, and training information are accurate and aligned for reporting purposes.

General Administration & Coordination

  • Support HR teams with events, meetings, and employee initiatives.
  • Coordinate company events, including supplier quotations, logistics, attendance tracking, and communication.
  • Manage distribution and tracking of staff vouchers, rewards, and incentives.
  • Provide general administrative support as required.
  • Perform any additional duties requested by Management.

Knowledge & Experience Required

  • Strong understanding of payroll legislation and statutory compliance.
  • Knowledge of:
    • BCEA, LRA, and MIBCO regulations
    • Employee benefits administration
    • Fringe benefits and payroll taxation
    • Council reconciliations
    • Payroll reporting and reconciliations
  • Experience with:
    • SAGE 300 People Payroll / VIP Payroll
    • Employee Self Service systems
    • Cost-to-Company payroll structures
    • MIBCO Council processes
    • Payroll report writing
    • ERS Biometrics systems

Minimum Requirements

  • Matric certificate.
  • Payroll Diploma or related qualification.
  • Minimum 5 years’ experience in a similar payroll administration role.
  • Proven experience on SAGE 300 People Payroll / VIP Payroll systems.
  • Advanced computer literacy, particularly Microsoft Excel.
  • Strong understanding of payroll legislation and compliance requirements.
  • Excellent written and verbal communication skills.
  • Ability to work accurately under pressure and meet deadlines.
