About the Role

We are looking for a compassionate, organised, and proactive Patient Intake Officer to join a growing agency that partners with ABA (Applied Behavior Analysis) therapy providers across the United States. The agency plays a vital role in helping families access life-changing autism therapy by managing the patient intake and onboarding process from initial enquiry through to successful placement with a provider.

This is a fast-paced, patient-focused role requiring excellent communication skills, empathy, and the ability to manage multiple cases while delivering an exceptional experience to families during an important stage of their healthcare journey.

Key Responsibilities

  • Respond promptly to inbound enquiries from prospective patients and their families.
  • Guide families through the ABA therapy intake and onboarding process with professionalism and empathy.
  • Collect, verify, and maintain accurate patient information and documentation.
  • Explain onboarding requirements and assist families with completing necessary paperwork.
  • Coordinate with ABA therapy providers, insurance teams, and internal departments to ensure a smooth onboarding experience.
  • Track patient progress throughout the intake process and proactively follow up on outstanding items.
  • Maintain accurate records and case updates within the CRM and other internal systems.
  • Ensure all communication is timely, compassionate, and compliant with healthcare privacy standards.
  • Work towards individual and team onboarding targets while maintaining high service quality.

Requirements

  • Previous experience in patient intake, medical administration, customer service, healthcare coordination, or call centre environments.
  • Excellent verbal and written English communication skills.
  • Strong organisational skills with the ability to manage multiple cases simultaneously.
  • High attention to detail and strong administrative capabilities.
  • Comfortable working with CRM systems and multiple online platforms.
  • Ability to build rapport with families and provide a supportive, professional experience.
  • Experience within the healthcare industry is highly advantageous.
  • Previous exposure to ABA therapy, behavioural health, insurance verification, or medical scheduling is beneficial but not essential.
