Job Summary

The primary focus of this role is to ensure that customer orders are processed through our systems in a timely and accurate way whilst validating they are in compliance with our standards. Full end to end order management, from receipt of customer PO, through to raising orders with suppliers, ETA tracking and provision of fulfilment details are the main daily tasks.

Management of the full order lifecycle, including dealing with order queries, cancellations and returns also sits within this role.

Accountabilities and main responsibilities

  • Checking and converting customer purchase orders to Sales Orders within our CRM System within the agreed SLA’s
  • Raising purchase orders on to our suppliers, ensuring all relevant information is included on the order, to enable accurate and timely fulfilment.
  • Ensuring that right pricing is achieved for every order, and that orders are placed with our preferred suppliers where possible.
  • Efficient and timely resolution of associated queries from suppliers and customers.
  • Manage and own return and cancellation requests, ensuring internal systems are updated where necessary.
  • Manage back-order report and resolve any issues which arise.
  • Identifying improvements in processes
  • Ensure that all orders are transacted at each period end and any delays are managed and reported.
  • Maintenance of Customer Agreements within our CRM system.
  • Accurate and efficient completion of all purchase orders.
  • Delivery management – Tracking of orders, deliveries, collections and managing queries
  • Hardware Invoicing, ensuring orders are invoiced as soon as possible

Qualifications and skills

Essential

  • Excellent time management and organisational skills, with experience of managing a demanding workload and conflicting priorities.
  • Experience of verbally communicating complex information precisely, effectively and with authority to both individuals and groups.
  • Attention to detail with proven ability to analyse data.
  • Maintain high activity levels with a high degree of accuracy.
  • See tasks through to completion and within agreed timescales.
  • Can collate/present information clearly and effectively.
  • Ability to prioritise requests
  • Good understanding of Microsoft Office with strong Excel skills

Desirable

  • Experience using CRM and ERP systems.
  • An understanding of the basic order process covering Purchase Orders, Invoices and Credit notes.
  • Experience within an IT reseller.
  • A strong desire to question existing process and seek continual improvements.
