Position Overview

We are an innovative, fast-growing UK-based industrial safety brand operating two distinct, highly successful divisions globally across the US, UK, and international markets. Our first division delivers high-quality hand tools and drop-prevention gear engineered specifically for the construction industry (with a massive, mature footprint on Amazon Business). Our second division specializes in advanced automated safety systems—utilizing LED-projected safety signage, automated lighting, and visual mapping to protect work forces on complex industrial and construction sites.

As a lean team of 8 agile professionals (including 2 dedicated team members already based in the Philippines), we operate with high speed and zero bloat. We are seeking a highly meticulous Operations Support specialist to step into a pivotal seat, initially covering for a valued team member on leave, with long-term operational integration.

This is a heavy-detail, cross-functional role. You will act as the operational anchor of our daily business—managing our active sales inbox, processing manual enterprise orders, coordinating international logistics, and serving as a critical liaison between our clients and our technical engineering/design teams.

Crucial Requirement:
You do not need to be a qualified engineer, but you MUST possess a naturally sharp, technical mind. You will be responsible for extracting technical specifications from clients, coordinating artwork blueprints, and aligning directly with our product design team. If you do not possess obsessive attention to technical details, this role is not for you.

Key Responsibilities & Scope of Work
1. Technical Liaison & Custom Order Coordination (Critical Focus)

  • Specification Extraction:
    Review inbound client inquiries for our projected LED safety signage systems, extracting precise technical requirements, site measurements, and layout constraints.
  • Artwork & Branding Management:
    Coordinate specific artwork, branding assets, and visual specifications provided by clients. You will bundle this data cleanly and collaborate with our internal technical and design teams to ensure production accuracy.
  • Process Documentation Mastery:
    Learn and execute our fully documented internal technical translation processes, ensuring zero informational errors occur between client intake and final product ordering.

2. Sales Inbox Management & B2B Customer Service

  • The Hub of Communication:
    Take absolute ownership of our shared commercial sales email inbox. You will triage, monitor, and action all incoming customer requests swiftly.
  • Enterprise Order Processing:
    Manually ingest and process complex B2B sales orders that come through direct channels (outside of our automated Amazon ecosystems) using our internal order management platforms.
  • Customer Concierge:
    Act as the primary touchpoint for order tracking updates, lead-time inquiries, and direct customer care, escalating highly urgent or complex commercial requests to leadership.

3. Team Pipeline Coordination & Logistics

  • Deliverable Tracking:
    Act as the operational “glue” across our small, distributed team. You will monitor daily priorities, follow up on internal deliverables with other team members, and ensure cross-functional tasks are driven to completion.
  • Supply Chain Oversight:
    Generate and manage purchase orders, monitor component inventory replenishment thresholds, track global freight/courier shipments, and liaise directly with warehouse partners and suppliers to combat delivery delays.
  • E-Commerce Fulfillment Support:
    Provide secondary, auxiliary support to our primary warehouse fulfillment operators based in the Philippines to ensure continuity of service during peak volume periods.

Job Requirements

  • Commercial Administration Background:
    Proven experience in a sales administration, technical customer support, logistics coordination, or operations assistant role.
  • A Naturally Analytical/Technical Aptitude:
    High level of comfort reading through product dimensions, voltage/technical specs, or vector artwork requirements. You must be easily trainable, highly logical, and quick to absorb technical product catalogs.
  • Obsessive Attention to Detail:
    You are someone who naturally catches minor discrepancies in numbers, codes, or shipping manifests that others easily miss.
  • M365 Ecosystem Savviness:
    Advanced operational proficiency with Microsoft 365 (Teams, Excel, Outlook, Word). Experience navigating Hubspot or similar B2B CRMs/Order Management Systems is heavily preferred.
  • Flawless Professional English:
    Exceptional written and verbal English communication. Your tone must be crisp, professional, and confident when handling global enterprise clients.

Working Hours & Shift Conditions

  • Schedule:

    Full-time, 37.5 hours per week.

  • Shift Alignment:
