About the Role

Our client, a growing ABA therapy company in the United States, is seeking a highly organized, tech-savvy Operations Assistant to support the owner and help drive day-to-day business operations.

This is an exciting opportunity for someone who thrives in a fast-paced environment, enjoys solving problems, loves technology, and can take ownership of projects with minimal supervision. The successful candidate will become a trusted right hand to the owner, helping improve efficiency, streamline processes, and keep operations running smoothly.

Key Responsibilities

  • Provide direct operational and administrative support to the business owner
  • Manage and improve internal systems, workflows, and processes
  • Assist with project coordination and implementation across the business
  • Identify inefficiencies and proactively recommend solutions
  • Support scheduling, task management, and operational planning
  • Create reports, dashboards, and business documentation
  • Coordinate communication between departments and stakeholders
  • Assist with software implementation, automation, and process improvements
  • Manage and organize digital files, records, and operational data
  • Conduct research and gather information to support business decisions
  • Help ensure projects are completed on time and priorities remain on track
  • Troubleshoot operational challenges and find practical solutions in real time

Requirements

  • Previous experience in operations, executive assistance, project coordination, or a similar role
  • Exceptionally tech-savvy with the ability to quickly learn new platforms and software
  • Strong understanding of productivity tools, CRMs, project management systems, and business technology
  • Excellent organizational and time management skills
  • Strong analytical and problem-solving abilities
  • Ability to think independently and make sound decisions
  • High attention to detail and a proactive approach to work
  • Strong written and verbal English communication skills
  • Comfortable working directly with a business owner and handling confidential information
  • Ability to manage multiple priorities in a fast-paced environment

Preferred Experience

  • Experience supporting healthcare, therapy, or medical-related businesses
  • Experience with automation tools such as Zapier, Make, AI tools, or workflow automation platforms
  • Experience with project management platforms such as Asana, Monday.com, ClickUp, or similar systems
  • Experience creating SOPs and operational documentation
