We are looking to hire an Officer: Payroll in our Human Resources Team. This role is based at our office in Illovo, Johannesburg.
Job Purpose: The Officer: Payroll is responsible for providing accurate and timely payroll administration support by capturing, maintaining, and validating payroll data, supporting payroll processing activities, and ensuring compliance with payroll procedures and statutory requirements.
The role contributes to on‑time and correct employee payment while maintaining high standards of confidentiality and data integrity.
Main responsibilities:
Payroll Data Capture & Administration
• Capture and update payroll information including new hires, terminations, salary changes, allowances, deductions, and benefits.
• Ensure all payroll changes are supported by approved documentation.
• Maintain accurate payroll records and employee master data.
• Update payroll systems in line with cut‑off dates and procedures.
Payroll Processing Support
• Assist with payroll runs by preparing and validating input data.
• Support off‑cycle payments, corrections, and adjustments as directed.
• Adhere strictly to payroll calendars and deadlines.
• Perform basic payroll checks to identify obvious errors or omissions.
Time & Attendance Administration (where applicable)
• Capture and verify time, attendance, overtime, and shift data.
• Follow up with supervisors on missing or incorrect submissions.
• Support integration of time & attendance data into payroll systems.
Payroll Queries & Employee Support
• Respond to routine payroll queries from employees and managers.
• Investigate basic payroll discrepancies and provide explanations.
• Escalate complex or unresolved issues to Payroll Coordinator or Senior Specialist, Payroll.
• Maintain professional, confidential communication at all times.
Compliance, Filing & Record Management
• Maintain payroll documentation in line with governance and audit requirements.
• Ensure payroll files are complete, accurate, and audit‑ready.
• Support statutory and internal audits by providing documentation when required.
• Adhere to payroll controls and segregation of duties.
Reporting & Administration Support
• Prepare basic payroll reports (input summaries, change logs, query logs).
• Assist with reconciliations by providing input data and explanations.
• Maintain payroll trackers, calendars, and checklists.
Education:
• Certificate or Diploma in Payroll, HR Administration, or Accounting.
Professional Experience:
• 1–3 years’ experience in payroll or HR administration.
• Basic understanding of payroll legislation and statutory deductions.
• Experience with payroll systems and MS Excel.
• Strong numerical and administrative skills.
