Key Duties & Responsibilities

  • Overseeing daily office operations and ensuring smooth administrative processes.
  • Managing office schedules, meetings, and appointments for the team.
  • Coordinating tender documentation, submissions, and filing systems.
  • Assisting with preparation, formatting, and management of quantity surveying reports, contracts, and project documents.
  • Maintaining accurate records of project files, invoices, quotations, and procurement documents.
  • Liaising with clients, contractors, suppliers, and stakeholders regarding project administration.
  • Managing office budgets, petty cash, supplier payments, and invoice tracking.
  • Ensuring compliance with company policies and maintaining confidential records.
  • Supervising administrative staff and providing operational support to the quantity surveying team.
  • Handling correspondence, calls, emails, and client enquiries professionally.
  • Managing office supplies, equipment, and service providers to ensure uninterrupted operations.
  • Assisting with timesheets, staff leave records, and general HR administrative duties.
  • Maintaining organised filing systems for contracts, BOQs (Bills of Quantities), project costs, and compliance documents.
  • Supporting project coordination by tracking deadlines, meetings, and deliverables.
  • Preparing reports, presentations, and general office documentation.

Qualifications and Experience

  • Diploma or Degree in Business Administration, Office Management, Project Management, Construction Management, or related field.
  • Proficiency in Microsoft Office Suite (especially Excel, Word, and Outlook).
  • Knowledge of document management systems and project administration tools will be advantageous.
  • 5 or more years’ experience as an Office Manager
  • Previous experience within Quantity Surveying, Construction, Engineering, Architecture, or Built Environment firm preferred.
  • Experience managing tender documentation, quotations, contracts, invoices, and project-related administration.
  • Strong experience in client liaison, supplier coordination, and stakeholder communication.
  • Experience with procurement administration and office budget management advantageous.
  • Proven ability to manage multiple deadlines and support project teams in a fast-paced environment.
  • Experience supervising administrative staff will be beneficial

Ability to commute/relocate:

  • Durban, KwaZulu-Natal: Reliably commute or planning to relocate before starting work (Required)
