Purpose of the Role
We are seeking a highly organised and detail-oriented Administrator to support our operations across sales, invoicing, reception, and cash office functions. The role plays a key part in ensuring smooth day-to-day operations, accurate processing of customer orders and invoices, and excellent customer service.
This is a multi-functional role suited to someone who is comfortable working in a fast-paced environment and handling a variety of administrative, financial, and customer-facing tasks.
Customer Service & Reception
- Answer and direct incoming calls via switchboard in a professional manner
- Act as first point of contact for customers and visitors
- Handle customer queries and provide basic assistance
Sales & Order Processing
- Capture and process customer orders accurately on system
- Assist with telesales and follow-ups on customer orders
- Maintain accurate customer records and sales information
- Support sales team with administrative tasks and reporting
Invoicing & Financial Administration
- Process invoices, credit notes, and adjustments accurately
- Match invoices to delivery notes, receipts, and supporting documents
- Capture and reconcile daily receipts and payments
- Assist with month-end reports, reconciliations, and account balancing
Cash Office & Operational Support
- Assist with cash-ups and balancing of daily transactions
- Support counter sales and customer transactions when required
- Assist with basic diesel/bulk sales administration and delivery documentation
- Help resolve discrepancies in cash, stock, or delivery records
General Administration
- Maintain accurate filing systems and spreadsheets
- Assist with operational reporting and data entry
- Provide general administrative support across departments
- Support management with ad hoc tasks as required
Requirements
- Previous administrative experience (finance, sales, or logistics environment preferred)
- Strong attention to detail and accuracy
- Good communication and customer service skills
- Computer literate (MS Excel essential)
- Ability to multitask and work under pressure
- Strong organisational and time management skills
Preferred Attributes
- Experience with invoicing or accounting systems
- Experience in a fuel, LPG, logistics, or distribution environment
- Reliable, proactive, and able to work independently
