Office Administrator Jobs in New Bedford, MA at Confidential

About us

We’re a small, established company with a storefront here in New Bedford. We sell to customers locally and across the country. Small team, real work, no corporate fluff.

The role

We’re adding an office admin to the team — someone we’ll cross-train on all our front-office and back-office processes. Up front, that’s customers, phones, and getting orders out the door. Behind it, the bookkeeping and billing that keep everything running. Detail work that has to be done right and on time, in person, Monday through Friday, 8 to 4.

Customers come first here. That means taking care of the people who call, email, and walk in — and getting their orders shipped fast, same day whenever possible. The accounting and back-office work matters too, but the customer comes first.

What you’ll do

  • Answer the phones and help customers — at the counter, by phone, and by email
  • Process customer orders, including online and Amazon orders
  • Get customer orders shipped fast — packages, pallets, and truckloads, same day whenever possible
  • Post payments and deposits in QuickBooks
  • Enter bills
  • Review what we’re charged by vendors and what we charge customers — catch errors on both sides
  • Follow up on past-due accounts
  • Order inventory and supplies
  • Data entry, filing, and keeping records straight
  • General office support to keep things running smoothly

What we’re looking for

  • Excellent customer service skills. You’re good with people and give straight answers — on the phone, over email, and at the counter.
  • Steady when it’s busy. This place can get hectic — phones ringing, customers at the counter, orders to get out the door. You keep your head and keep things moving.
  • Reliable. You show up, on time, every day. This one isn’t negotiable.
  • Takes initiative. When your list is done, you find what’s next instead of waiting to be told.
  • Comfortable with numbers and detail. Payments, bills, and pricing have to be right.
  • QuickBooks and Excel experience is a strong plus. Shopify or Amazon Seller Central is Also helpful
