Job Purpose:
The Logistics Coordinator will act as the first point of contact for all shipping orders and enquiries and ensure that customer interactions are always handled in a proactive and professional manner. The Logistics Coordinator will be expected to perform and complete daily operational tasks to meet and exceed customer expectations, in compliance with all relevant regulations and the targets of the company.
Key Responsibilities:
• Manage the end to end shipment process
1. Route design, both locally and international
2. Ensuring all shipments and customs requirements are handled according to company and international regulations.
3. Check all paperwork prior to the shipment being collected. This is to eliminate any controllable delays prior to the shipment moving.
4. React flexibly to deviation in shipments and ensuring the client, shipper and consignee are kept updated with shipment progress (collection, transit and delivery).
5. Ensuing all paperwork related to the shipment file is uploaded to the Rodon TMS system.
6. Creating all jobs in the Rodon TMS system accurately, including all relevant notes for billing, drivers and intercompany offices.
• Monitoring of shipments in transit
1. Ensuring all shipments are on schedule for timely collection/delivery with Rodon transport/warehouse team and/or agents.
2. Proactively monitor the status of shipments and identify and deal with any issues as they arise or escalate appropriately.
3. Book consignments with airlines or service providers timeously via, email.
4. Work with international agents/service providers to arrange oks to send, collections, customs clearance and deliveries.
5. Provide the customer with regular, accurate and timely updates on shipment status.
• Transport, warehouse and packaging management.
1. Planning/coordinating with the warehouse and transport team daily for scheduled collections, exports, imports, and deliveries.
2. Resupply of packaging to agents to be done in bulk and as cost effective as possible.
3. Returning reusable packaging to and from any destination. This includes any client specified packaging.
4. Configuration of temperature monitors according to both packaging and client requirements.
• Imports/Export coordination
1. All imports must be submitted to customs timeously to ensure swift clearance is done.
2. Coordinate all shipments into and out of all countries handled with agents/service providers to ensure all paperwork is in order, prior to shipments being imported/exported.
3. Communicate all pre-alerts and special instructions to agents/service providers timeously to ensure smooth customs clearance at destination.
4. Ensure agent costs are gathered and captured in the Rodon TMS system once jobs are delivered.
• Non-conformance and incident reporting.
1. All deviations are to be recorded in the Rodon TMS system and client updated.
2. Non-conformance reports must be monitored and updated consistently and with accuracy.
3. Customer complaints are to be recorded and resolved as efficiently as possible.
4. Handling reports must be completed accurately and timeously.
Overall, a logistics coordinator plays a critical role in ensuring that goods are moved efficiently and effectively from one location to another.
