In this role, you will be responsible for ensuring the smooth administrative flow of logistics operations, from processing customer orders and generating invoices to managing proof of delivery (POD) documentation and stock reporting. You will work closely with Sales, Dispatch, and Warehouse teams to ensure orders are accur ate, deliveries are properly documented, and inventory information is up to date.


REQUIREMENTS

  • Grade 12/Matric
  • Excel skills (VLOOKUP/XLOOKUP, pivot tables, filters),
  • 2– 4 years in logistics admin, supply chain admin, or warehouse administration.
  • Experience in FMCG, chilled/frozen food, or manufacturing environments.
  • Experience with order processing, invoicing, PODs, and stock reporting.


DUTIES AND RESPONSIBILITIES


Order Processing & Invoicing

  • Capture and process customer orders accurately and timeously.
  • Verify stock availability before releasing orders.
  • Generate invoices, delivery notes, and route documents.
  • Ensure correct pricing, customer codes, and product codes on all invoices.
  • Flag discrepancies or unavailable stock to Dispatch Supervisor / Logistics Officer.
  • Track all open orders and ensure none fall through the cracks.


POD Control & Document Management

  • Match PODs to corresponding invoices and delivery notes daily.
  • Capture POD data into the system and mark as completed.
  • Flag missing, illegible, or disputed PODs to the Logistics Manager.
  • Maintain a digital and physical filing system for: PODs, Delivery Notes, Invoices, Returns, GRNs (if handled).


Stock & Inventory Reporting

  • Run daily stock reports for finished goods.
  • Monitor short -dated stock and send expiry risk alerts.
  • Provide stock availability to the order processing team.
  • Identify discrepancies between system stock and physical stock.


Logistics Reporting

  • Compile daily dispatch summary (orders loaded, pending, shortages).
  • Produce inbound/outbound movement reports when needed.
  • Update cost trackers (transport costs, labour hours, damages, write -offs).
  • Generate executive -level summaries for you (Logistics Manager).


Filing, Administration & System Maintenance

  • Maintain meticulous documentation for all logistics movements.
  • Upload all relevant documents into the system and shared drives.
  • Maintain rate cards, route sheets, customer preference notes.


Communication & Coordination

  • Liaise with Sales regarding order statuses, delivery ETA, and delays.
  • Communicate order issues to Dispatch, Drivers, and Management.
  • Provide admin support to Receiving & Dispatch supervisors when gaps occur.
