Job Overview: We are seeking a highly organized and detail-oriented Legal Assistant to provide administrative and legal support to our team remotely. This role requires strong communication, time management, and organizational skills.
Ideal Candidate: Will be responsible for a variety of tasks, including document management, client communication, and assisting attorneys with their daily tasks.
Key Responsibilities
- Conduct research on case law, statutes, regulations, and legal precedents to support the work of legal professionals.
- Assist in drafting legal documents such as contracts, agreements, wills, and legal correspondence. Review and proofread documents for accuracy and completeness.
- Manage and respond to client emails, calls, and inquiries, scheduling appointments, and maintaining client relationships.
- Prepare and file court documents, including electronic filings, in accordance with court rules and deadlines.
- Manage and maintain attorney’s schedule, including scheduling meetings, court appearances, and deadlines.
- Transcribe legal documents, meetings, and interviews, ensuring accurate and confidential transcription.
- Assist in preparing invoices, tracking billable hours, and managing billing records.
- Organize and maintain legal databases, document repositories, and case management systems.
- Create and update legal forms, templates, and precedents for standard legal documents.
- Assist in ensuring that the law firm and its clients are in compliance with relevant laws and regulations.
- Support marketing efforts, including managing the firm’s website, social media profiles, and content creation.
- Assist with new client intake procedures, including gathering necessary information and documents.
- Conduct conflict of interest checks to ensure that the firm can represent a particular client.
- Help with financial tasks such as tracking expenses, managing accounts payable/receivable, and reconciling bank statements.
- Prepare and format legal correspondence, including letters, memos, and emails.
- Assist in preparing attorney for depositions, hearings, and trials by organizing documents, exhibits, and witness statements.
- Conduct due diligence checks and assist with compliance tasks related to legal matters.
- Assist in organizing and attending virtual legal networking events and conferences to expand the firm’s client base.
- Maintain and organize legal files, ensuring that documents are readily accessible and properly archived.
- Ensure that client data and sensitive information are handled in accordance with data privacy laws and the firm’s policies.
Skills And Qualifications
- Bachelor’s degree in a related field (e.g., paralegal studies, law, legal administration)
- 2+ years of experience working as a Legal Virtual Assistant or in a similar role
- Strong understanding of the legal profession and legal research methods
- Excellent writing and editing skills
- Ability to work independently and as part of a team
- Proficiency in Microsoft Office Suite and legal research software
