PURPOSE OF THE POSITION
The Junior Finance Clerk will be responsible for issuing participant reimbursement funds, maintaining accurate financial records, and providing daily reconciliations to the management team. This position requires strong attention to detail, excellent organisational skills, and a high level of integrity. The ideal candidate must be able to work independently, uphold ethical standards, and remain firm under pressure.
KEY RESPONSIBILITIES / DUTIES
1. Participant Reimbursements
· Issue funds to participants in line with internal policies and authorized approvals
· Ensure all reimbursements have accurate supporting documentation
· Maintain a secure and compliant cash handling environment
2. Financial Recordkeeping
· Maintain an accurate daily record of transactions and send reporting through to the Finance team at the start and end of every shift
· Establish and maintain proper recordkeeping systems for all financial information (both electronic and paper-based).
3. Audit and Compliance
- Ensure adherence to Financial Policies, Procedures, SOPs, and all applicable guidelines.
- Maintain updated finance-related Standard Operating Procedures (SOPs) and contribute to improvements where necessary.
- Report any identified irregularities or non-compliance to the Line Manager immediately.
- Adherence to the audit controls with strict confidentiality.
- Investigate until resolution where there are any discrepancies and submit daily feedback.
4. Stakeholder Relations and Communication
- Maintain good relationships with internal and external stakeholders through professional, timely communication.
- Handle queries efficiently and ensure feedback is provided to staff and stakeholders.
- Communicate proactively regarding any delays or challenges in financial submissions.
5. Administration and Office Management
- Maintain a clean, organised, and efficient workspace, ensuring all records are archived in an orderly manner.
- Ensure accurate record retention and filing practices in line with organisational and SARS requirements.
- Use accounting and office software efficiently and responsibly.
- Perform any other finance-related duties as may be reasonably required within the employee’s skillset and capabilities.
