We are seeking a detail-oriented and highly organised Inventory Administrator to join our Supply Chain team in Paarl.
This role is responsible for managing export and local intake transactions for fruit sourced from origins outside South Africa, ensuring accurate inventory recording, traceability, and efficient stock management within our ERP systems.
The Inventory Administrator is responsible for managing Export and Local (other origins excluding South Africa) intakes within NetSuite. The successful candidate will accurately prepare, verify, and process all intake transactions in a timely manner to support efficient loading, stock control, and shipment processes.

Key Performance Outputs
Pre-Season & Master Data Maintenance
- Review crop estimates and verify season, farm, and orchard/block setup.
- Validate SKU and pack type information.
- Verify grower, supplier, and location master data.
- Participate in mock recall exercises.
- Maintain and update Intake SOPs in accordance with company standards.
- Communicate pre-season requirements accurately and timeously to relevant stakeholders.
Intake Administration
- Receive packing instruction packs for orders via email or Microsoft Teams.
- Receive intake documentation, consignment files, and electronic intake information from growers and packhouses.
- Verify intake data and resolve discrepancies where necessary.
- Accurately capture and maintain pallet and intake information within NetSuite, ensuring full traceability.
- Verify intake information against Tableau reports where applicable.
- Process commercial verification and PPECB pass pallets based on inspection reports.
- Transfer stock between depot locations within the system.
- Maintain accurate filing of all intake documentation.
- Communicate intake information through relevant Teams channels.
- Provide required documentation to Logistics teams and Forwarding Agents.
- Process Stock Return Authorisations (SRAs) when required.
- Investigate and resolve stock, intake, and PPECB-related queries
Requirements
Qualifications
- Grade 12 / Senior Certificate / Matric.
- A Logistics-related course or qualification would be advantageous.
Experience
- Minimum of 2 years' experience in an Inventory, Supply Chain, or related role.
- Previous experience within the fruit industry is essential.
- Experience working with inventory management and ERP systems.

- Computer literate with strong proficiency in Microsoft Office, particularly Excel.
- Experience working with NetSuite or similar ERP systems.
- Knowledge of fruit industry operations and processes.
- Understanding of grower intake systems and associated documentation.
- Sound knowledge of export inventory administration and traceability requirements.
