Purpose of Role
The Human Resources Contractor Coordinator is responsible for establishing, creating, and maintaining contractor and temporary worker positions within the organisational structure to ensure complete and accurate headcount reporting for all personnel on site. The role manages the contractor headcount dimension as a distinct workforce category, separate from permanent and fixed-term employees managed through existing HR processes. Acting as the central custodian of non-employee workforce data, the role ensures contractor positions are accurately managed in Microsoft Dynamics aligned to approved organisational structures.
Context of Role
- Coordinate the onboarding and offboarding of contractors and temporary employees
- Maintain accurate contractor records, contracts, and documentation.
- Validate that required compliance outcomes have been successfully completed. (medical/training) and, based on this confirmation, update the contractor’s status to accredited for onsite work and enable the provisioning of site access (X-Time).
- The role links Services Procurement contracts to contractor positions in Microsoft Dynamics, enabling monitoring of contract end dates and ensuring contractor status and site access are updated when contracts expire or are terminated.
- Act as the primary point of contact for line managers, contractors, and labor brokers for correct onboarding procedures in Microsoft Dynamics.
- Prepare regular reports on contractor numbers and compliance status.
- Maintain HR systems and contractor databases.
- Support broader HR initiatives such as audits, policy implementation, and process improvement.
- Assist with employee relations matters involving contractors, where applicable.
- Ensure contractor positions are loaded with org structures in the Dynamics platform.
- Track contractor tenure, contract expiry dates, and extensions.
