Role Purpose
The Human Capital Administration Intern supports the Benefits function by assisting with administrative processes related to employee benefits. The role focuses on capturing and maintaining benefits information, supporting employee benefits campaigns, and following up with employees to ensure accurate participation and documentation. The intern plays an important role in ensuring benefits administration processes run smoothly and that employees receive timely support regarding their benefits.
Requirements
- Diploma or Degree in Human Resources, Business Administration, Finance, or related field.
- No prior experience required (entry-level internship).
- Basic administrative or data capture experience would be advantageous.
Duties & Responsibilities
Benefits Administration Support:
- Capture and maintain employee benefits information accurately on HR systems or tracking spreadsheets.
- Assist with updating employee benefit records for medical aid, retirement funds, risk benefits, and related programmes.
- Ensure employee benefits documentation is correctly filed and maintained.
Benefits Campaign Support:
- Support the rollout of benefits-related campaigns (e.g., medical aid changes, beneficiary updates, wellness initiatives).
- Assist with preparing campaign communication packs and distribution lists.
- Track campaign participation and provide progress updates to the HC Benefits team.
Employee Follow-Ups:
- Follow up with employees to obtain outstanding benefits documentation.
- Assist employees with completing benefits forms where required.
- Respond to basic employee queries and escalate complex matters to the Benefits team.
Data Management and Reporting:
- Maintain accurate records of benefits participation and employee submissions.
- Assist with preparing simple reports and tracking documents related to benefits campaigns.
- Ensure benefits data is captured accurately and on time.
Administrative Support:
- Provide general administrative support to the Benefits team.
- Assist with scheduling benefits-related meetings or awareness sessions.
- Support the preparation of employee communication materials where required.
