Job Summary
We are seeking a detail-oriented and professional HR Assistant to provide administrative and compliance support to the HR and management team. This role focuses strictly on operational and coordination duties within Human Resources and does not include strategic HR decision-making authority.
The HR Assistant will operate on a need-to-know basis, maintain strict confidentiality, and support HR processes in line with company policy and applicable labour legislation. A foundational understanding of labour law is required.
Reporting Line
Reports directly to: Management
Works closely with: Finance, Administration and Office Manager
Key Responsibilities
1. Personnel Administration
- Maintain and update employee records (personal details, leave records only)
- Ensure personnel files are complete, compliant, and audit-ready
- Maintain accurate HR filing systems (digital and physical)
- Prepare standard HR letters (employment confirmations, policy updates, contract templates)
- Track probation periods and contract renewals
2. Recruitment (Administrative Coordination Only)
- Draft and post job advertisements
- Screen CVs according to predefined criteria
- Schedule interviews and coordinate logistics
- Conduct reference checks
- Coordinate onboarding and offboarding documentation and induction schedules
- Ensure new hires complete all required compliance documentation
3. Leave & Attendance Administration
- Capture and monitor employee leave
- Maintain the leave system (e.g., eHoliday)
- Track absenteeism trends and flag concerns to management
- Ensure required documentation (e.g., medical certificates) is submitted and filed
4. Payroll Support (Data Collection Only)
- Collect and verify payroll input (claims, allowances, leave data)
- Capture payroll-related information accurately
- Ensure payroll deadlines are met
5. Employee Relations Support (Administrative Role)
- Prepare disciplinary notices as instructed
- Take minutes during disciplinary or grievance meetings
- Coordinate employee relations meetings
- Track performance review timelines
- Support documentation preparation for labour-related processes
May:
- Advise line managers administratively
- Support documentation for disputes
- Assist in preparing documentation for CCMA matters in coordination with management and legal advisors
6. Compliance & Labour Law Support
- Maintain statutory compliance files
- Track key labour law deadlines and reporting requirements
- Support CCMA case administration in coordination with management and legal counsel
- Ensure HR processes align with company policies and applicable labour legislation
All compliance interpretations must be reviewed and approved by management before implementation.
7. Training & Development Administration
- Coordinate training schedules
- Maintain training records
- Track performance review documentation
Qualifications & Minimum Requirements
- Diploma or Degree in Human Resources, Labour Relations, Law, or related field
- Minimum requirement: Foundational knowledge of labour law
- 2+ years’ experience in HR administration or labour relations support
- Experience preparing disciplinary documentation and compliance records
- Strong understanding of confidentiality principles
- Proficiency in MS Office (especially Excel and Word)
- High attention to detail and strong documentation skills
- Ability to work independently within defined authority limits
Preferred Experience
- Exposure to CCMA processes
- Experience in SME or cooperate environments
- Experience assisting external labour law consultants or attorneys
Confidentiality & Governance Requirements
The HR Assistant:
- Must sign a strict confidentiality agreement
- Will operate on a need-to-know basis
- Will function strictly as administrative and compliance support
- Will not have access to financial forecasting or strategic financial data
Breach of confidentiality, particularly regarding salary or sensitive employment matters, may result in disciplinary action up to and including dismissal.
