DUTIES & RESPONSIBILITIES

The HR Administrator provides administrative, coordination, and facilitation support across all HR functions, ensuring that processes are efficiently executed, properly documented, and well maintained. The role focuses on the day-to-day operational and administrative requirements of the HR function.

The HR Manager/Director retains overall responsibility for decision-making, approval of policies and procedures, employee relations outcomes, and the strategic direction of the HR function.

KEY PERFORMANCE INDICATORS: but not limited to

1. Employee Relations (Administrative Coordination)

  • Prepare and issue documentation for disciplinary and grievance processes (notices, letters, packs)
  • Schedule and coordinate disciplinary hearings and meetings
  • Take minutes and ensure accurate record keeping of proceedings
  • Maintain IR files, trackers, and case documentation
  • Ensure all documentation is complete, filed, and audit-ready
  • Assist with compiling bundles and documentation for CCMA/Bargaining Council matters
  • Follow up on actions and deadlines as guided by the HR Manager

2. Performance Management Administration

  • Coordinate performance review cycles (probation, quarterly, annual)
  • Send reminders and track completion of reviews
  • Ensure all signed performance documents are collected and filed
  • Maintain performance management trackers and records
  • Assist in compiling performance reports for the HR Manager
  • Provide administrative support for performance-related processes

3. Recruitment and Onboarding Support

  • Draft and post job advertisements as directed
  • Screen CVs and organise candidate shortlists for review
  • Schedule interviews and coordinate logistics
  • Conduct reference checks and maintain records
  • Prepare offer letters and employment contracts for approval
  • Coordinate onboarding (employee documentation, induction scheduling)
  • Manage exit administration (resignations, documentation, exit interviews)

4. HR Administration & Record Keeping

  • Maintain accurate and up-to-date employee files (electronic and manual)
  • Ensure all HR documentation is properly stored and easily accessible
  • Assist with compiling HR reports (headcount, IR, recruitment, attendance, etc.)
  • Support compliance documentation for EE, Skills Development, and B-BBEE
  • Track and maintain training records and registers
  • Coordinate and facilitate internal HR-related training sessions (e.g. policies, procedures, induction)
  • Assist with identifying training needs and scheduling interventions
  • Support the preparation and updating of company HR policies and procedures for review and approval by the HR Manager
  • Ensure latest approved policies and procedures are communicated, implemented, and accessible to employees
  • Ensure all documentation aligns with company policies and legislative requirements
  • Maintain records of employee benefits (medical aid, provident fund, etc.)
  • Ensure employees are correctly added, amended, or removed from the Bargaining Council system where applicable
  • Manage administrative updates relating to Bargaining Council membership changes (new employees, terminations, and changes in employee status)
  • Assist with onboarding employees onto the company medical aid plan and ensure all related documentation is completed and submitted timeously

5. General HR Support

  • Provide day-to-day administrative support to the HR Manager
  • Assist with HR projects and initiatives as required
  • Ensure timely communication and follow-ups with employees and line managers
  • Maintain confidentiality of all HR records and information
  • Support audits by ensuring all documentation is complete and accessible

QUALIFICATION AND EXPERIENCE

QUALIFICATIONS:

  • Diploma or Degree in Human Resources or related field

EXPERIENCE:

  • 2–4 years’ experience in an HR administrative or HR coordination role
  • Experience supporting core HR functions such as recruitment, employee records, payroll input administration, and onboarding
  • Exposure to employee relations administration (disciplinary and grievance documentation, scheduling, record keeping)
  • Experience with HR systems or payroll systems advantageous
  • Previous experience in a structured HR environment supporting multiple HR functions preferred
  • Exposure to basic labour legislation and HR compliance processes within South Africa
  • Experience in coordinating training, maintaining training records, and supporting HR reporting will be beneficial
  • Exposure to benefits administration (e.g. medical aid, provident fund, or bargaining council processes) will be an advantage

KEY SKILLS AND ATTRIBUTES

  • Strong HR administration and coordination skills with excellent attention to detail
  • Highly organised with the ability to manage multiple tasks and meet deadlines
  • Solid understanding of HR processes including recruitment support, onboarding, and employee records
  • Experience in employee relations administration (disciplinary and grievance coordination) advantageous
  • Exposure to payroll input, benefits administration, and statutory processes will be beneficial
  • Strong Microsoft Office skills (Excel, Word, Outlook); HR system experience an advantage
  • Excellent communication skills with a professional and confidential approach
  • Reliable, proactive, and able to work well under pressure in a fast-paced HR environment

REMUNERATION / BENEFITS

SALARY: R 12 000 – R 15 000
