Job Purpose

Establish good relationships with the clients in the PPN Network and manage all injury on duty claims on eCOIDA.

Key Performance Areas
1. eCOIDA Functions

  • The HEP must ensure that all claims received from the Hospital and/or ER unit are registered, and all supporting documents uploaded on eCOIDA within 24 hours of receipt.
  • Ensure proper PPN management for IOD cases on eCOIDA.
  • Monitor and control the flow of paperwork between the PPN client and Comp Sol, ensuring that all accounts are uploaded, captured, completed and submitted via eCOIDA.

2. eCOIDA Training

  • Training of new clients on eCOIDA in terms of the relevant requirements for such client’s discipline.
  • Provide regular training updates to current clients to ensure that unnecessary queries are eliminated.
  • Ensure training sessions are completed with clients as new eCOIDA functions become available.

3. Training & Support

  • Provide training to clients in respect of the IOD claim as well as any disciplinary requirements.
  • Changes in rules and regulations must be promptly communicated to the clients.
  • Provide general support to clients in respect of IOD queries and completion of documents.

4. Client Relationship Management

  • Assist the PPN clients as needed to reduce each practice’s number of outstanding queries.
  • Ensure that the quality of the client’s medical accounts are good and the submission of such accounts results in the minimum queries prior to pre‑funding or administration of such accounts.
  • Monitor the level of client loyalty to Comp Sol providing effective feedback where the clients have become dissatisfied with the services.
  • Provide constant feedback to the Comp Sol Supervisor or Regional Manager on matters relating to client service as well as queries.
  • Ensure that the relevant notice is provided to head office if the client changes address, administration contact person, banking details, legal entity, etc.
  • Assist clients where necessary by approaching non‑Comp Sol service providers or employers to obtain relevant outstanding information or documentation.
  • Notify the Sales Representative if any non‑Comp Sol service providers are interested in signing an agreement.
  • Establish excellent relationships with both the medical service provider and its administration department, maintaining a professional relationship so as not to disturb the working relationship.

5. Geographical Team Liaison

  • Consult with the relevant Supervisor if you are not sure about elements regarding the documentation or query list.
  • Carry out any instructions from Supervisor with regard to clients promptly and effectively.
  • Provide continuous feedback via telephone and email to each Supervisor/Management pertaining to the clients managed by that Supervisor.

6. IT/OPS Liaison

  • Monitor and report back on all processing issues you might become aware of on eCOIDA.
  • Provide accurate data and examples of any problems encountered whilst working on eCOIDA.

7. Administration

  • As HEP you are expected to maintain a balance between client visits and providing timely feedback regarding such visits.
  • Ensure that your weekly report feedback is captured into the relevant database and submitted to
  • Prepare and supply weekly feedback to the HEP Co‑Ordinator regarding the Hospital Ledger and accounts still outstanding for submission to Comp Sol.
  • Prepare and supply weekly feedback to the HEP Co‑Ordinator regarding your Query Tracker.
  • Prepare and supply monthly feedback to the HEP Co‑Ordinator during the monthly HEP telecon on topics predetermined by the HEP Co‑Ordinator.

8. Special Projects

  • Complete any special projects on instruction from HEP Co‑Ordinator, Supervisor and/or Management.
  • Provide regular and accurate feedback on projects assigned.
