We are looking for an experienced, detail-oriented, and highly responsive US Healthcare Virtual Assistant to support our growing psychology practice specializing in autism and neurodevelopmental disorders.
Role Overview:
This role provides comprehensive administrative and operational support to ensure smooth day-to-day functioning. The ideal candidate is organized, proactive, and empathetic when interacting with patients and families, while maintaining strict confidentiality.
Key Responsibilities:
- Manage patient scheduling, calendar coordination, and appointment reminders
- Handle phone and email inquiries professionally and promptly
- Support medical billing and assist with payroll tasks
- Verify out-of-network insurance benefits
- Assist families with submitting out-of-network insurance claims
- Send and manage online intake forms and documentation
- Support clinical documentation, including scoring forms and entering data into patient records
- Maintain accurate and up-to-date information in the EHR system (SimplePractice)
Schedule:
Full-time, Monday–Friday
- 3 days: 9:00 AM – 5:00 PM EST
- 2 days: 10:00 AM – 6:00 PM EST
Qualifications:
- Proven experience as a US Healthcare Virtual Assistant or similar role in a medical or behavioral health setting
- Familiarity with EHR systems (SimplePractice experience is a plus)
- Strong understanding of medical billing and insurance processes, particularly out-of-network benefits
- Excellent written and verbal English communication skills
- Strong attention to detail and ability to prioritize effectively
- Empathetic, professional, and patient-focused approach
- Highly responsive and reliable

- Preference for candidates in a compatible time zone with EST
