About the Role
The Health Information Manager is responsible for the oversight, administration, optimization, and continuous improvement of the Agency’s health information management systems, Electronic Health Record (EHR) platform, clinical documentation processes, and data integrity functions.
This position serves as the Agency’s lead administrator for the Electronic Health Record (EHR) system and works collaboratively with leadership, compliance, billing, quality improvement, clinical staff, and operational departments to support regulatory compliance, reporting accuracy, workflow efficiency, and high-quality client care.
The Health Information Manager reports to the Network Administrator and supervises the Data Analyst position.
Qualifications/Education
- Bachelor’s degree in Health Information Management, Healthcare Administration, Health Informatics, Business Administration, or related field
Experience
- Minimum of three (3) years of progressively responsible experience in:
- Health information management
- EHR administration
- Healthcare operations
- Clinical systems support
- Healthcare reporting functions
- Experience in behavioral health, healthcare, nonprofit, or community health settings preferred
- Prior supervisory or leadership experience preferred
Technical Skills
Experience with:
- Electronic Health Record (EHR/EMR) systems
- Google Workspace
- Microsoft Office
- Single Sign-On environments
- Credible/Qualifacts preferred
- Integrated systems such as:
- Eleos
- Doxy or similar telehealth platforms

Additional Requirements
- Valid New York State Driver’s License
- Ability to travel occasionally between agency sites and community events
- Ability to successfully complete required background checks and Medicaid exclusion screenings
Essential Responsibilities
Health Information Management & EHR Administration
- Serve as the primary administrator and subject matter expert for the Agency’s EHR system and related clinical applications
- Oversee daily administration, optimization, integrity, and functionality of health information systems
- Evaluate and improve clinical documentation workflows, templates, forms, and reporting processes
- Coordinate system updates, workflow enhancements, and implementation of new EHR functionality
- Manage user access, permissions, confidentiality protections, and HIPAA compliance
- Develop and maintain policies and procedures related to health information management and data governance
Clinical Documentation & Compliance
- Support compliance with Medicaid, OMH, OASAS, DOH, CCBHC, HIPAA, and other regulatory requirements
- Collaborate with Compliance, Billing, Quality Improvement, and Clinical teams on audits and documentation improvement initiatives
- Monitor documentation trends and identify workflow gaps or compliance concerns
- Promote accurate, timely, and complete documentation practices across the organization
Data Analytics & Reporting
- Oversee agency reporting functions and health information data processes
- Supervise and support the Data Analyst position
- Direct development of reports, dashboards, operational metrics, and tracking tools
- Ensure accuracy, integrity, consistency, and confidentiality of organizational data
- Analyze operational and clinical data trends and provide recommendations to leadership
Workflow Improvement & Organizational Support
- Lead process improvement and workflow redesign initiatives
- Support change management activities related to EHR systems and documentation standards
- Collaborate with vendors and system partners to improve operational effectiveness
- Provide staff training and support related to EHR functionality and documentation requirements
Work Environment
This position primarily operates in an office environment and requires regular use of computers and standard office equipment. Employees may occasionally lift up to 25 pounds.
