Role Purpose
- The Head of Wealth Operations is responsible for the efficient, accurate, and scalable execution of all core processing and platform-related activities across the Wealth business and ensuring that all third party relationships, with direct interactions with the operational team, are managed, enhanced, and sustained.
- The role ensures that operations run seamlessly, delivering high-quality outcomes within defined timelines and service standards and within targeted budgets.
- The incumbent translates operational strategy into disciplined execution, driving productivity, quality, turnaround times, and process efficiency across processing teams.
Requirements
Qualifications
- A relevant undergraduate degree in Business, Finance, or a related field is required.
- A postgraduate qualification is advantageous.
Experience
- 8–12+ years’ experience in financial services operations, with strong exposure to Wealth Management and LISP platforms.
- Proven experience in managing high-volume processing environments, including investment administration and platform operations.
- Demonstrated track record in improving operational efficiency, productivity, and turnaround times.
- Experience in leading teams within processing-focused operational environments.
Duties & Responsibilities
1. Relationship management
- The role is the key contract for third party stakeholders (fund managers, PSP providers (investment managers and stockbrokers), DFMs) and the lead operational relationship contact of Momentum Wealth;
- The role is accountable to ensure that the Fund Administration team manages the internal and external Fund Managers and where needed, steps in to lead these engagements or to support his/her team
- The role is accountable to ensure that the Personal Share Administration team manages the internal and external Investment managers and Stockbrokers and where needed, steps in to lead these engagements or to support his/her team
2. Processing Operations Execution
- The role leads all core processing activities, including investment administration, trade processing, settlements, reconciliations, investment component management (funds, model portfolios and share portfolios), and platform transactions.
- All transactions are executed accurately, efficiently, and within defined turnaround times and service standards.
- Daily operations are actively managed to ensure workflow efficiency, prioritisation of critical activities, and resolution of backlogs.
- The Head of Operations ensures consistent delivery of high-volume processing in a controlled and disciplined manner.
3. Operational Performance & Productivity
- The role manages and tracks key operational metrics, including volumes, turnaround times, productivity, costs and processing accuracy.
- Performance is actively monitored, with clear visibility of operational throughput and bottlenecks.
- Targeted interventions are implemented to address performance gaps and improve delivery against defined standards.
- A strong focus is placed on improving productivity, throughput, and cost-to-serve within processing operations.
4. Process Efficiency & Continuous Improvement
- The Head of Operations identifies and drives opportunities to streamline processes, eliminate inefficiencies, and reduce manual effort.
- Continuous improvement initiatives are implemented to optimise workflows, improve turnaround times, and enhance scalability.
- The role partners with other teams and leaders to support digitisation, automation, and straight-through processing initiatives.
- Operational insights are provided to inform system enhancements and process redesign.
5. Capacity & Workflow Management
- The role ensures that processing teams are appropriately resourced and structured to meet operational demand within defined budgets.
- Capacity planning and workflow allocation are actively managed in line with volumes and seasonal fluctuations.
- The Head of Operations ensures optimal utilisation of resources (people and technology) while maintaining performance standards and employee sustainability.
- Recruitment, onboarding, and training are managed to ensure teams are equipped to meet operational requirements.
6. Leadership & Team Management
- The role leads a team of managers and processing specialists, fostering a culture of accountability, discipline, and delivery excellence.
- Clear performance expectations are set, with regular coaching and feedback to drive individual and team performance.
- Leadership capability is developed within the team to ensure strength in succession and depth of expertise.
- Employee engagement and team stability are actively managed within a high-volume processing environment.
7. Stakeholder Collaboration
- The role works closely with the COO to execute operational priorities and support transformation initiatives.
- Collaboration is maintained with Technology, Product, Service and broader operations teams to ensure aligned execution of platform and processing activities.
- The Head of Operations provides operational input into system changes, product launches, and process enhancements to ensure operational readiness.
- This role will be the Operational area’s representative at the Wealth Management Manco.
