The Role
The company’s flagship products include reusable water bottles and coffee cups, customised with client branding and bespoke designs.
The Fulfilment Administrator plays a central role within the operations team, ensuring customer orders are processed accurately and delivered on time. This position is responsible for managing orders from initial entry through to delivery confirmation and invoice reconciliation, while liaising closely with production teams, suppliers, finance, and sales.
This role is ideal for someone who is highly organised, detail-oriented, proactive, and comfortable taking ownership of a wide range of operational tasks.
Key Responsibilities
- Accurately enter and manage sales orders, purchase orders, and invoices within the order management system.
- Send orders to production teams and manage all related correspondence, including artwork approvals and bespoke order tracking.
- Monitor UK and international couriers and freight forwarders, maintaining accurate shipment records and arranging shipments where required.
- Coordinate stock transfers between warehouses and production teams, confirming receipt and updating records accordingly.
- Review supplier invoices against purchase orders before payment approval.
- Investigate and resolve customer service issues, delivery concerns, and supplier discrepancies.
- Maintain fulfilment trackers and stock reconciliation and assist with monthly operational reporting.
- Identify process improvements and support the ongoing optimisation of fulfilment operations.
Location & Working Hours
- Full-time, long-term contract.
- Fully remote position.
Requirements
Skills & Experience Required
- Previous experience in fulfilment, order processing, or operations administration.
- Strong experience working with order management systems, CRMs, and inventory management platforms.
- Experience processing invoices and purchase orders.
- Proven ability to liaise effectively with suppliers, logistics providers, and external stakeholders.
- Exceptional attention to detail and accuracy.
- Strong organisational and time-management skills, with the ability to manage multiple priorities.
- Clear and professional written communication skills.
- Proactive, self-motivated, and comfortable taking ownership of tasks and following through independently.
Salary
R20 000-R35 000 per month, depending on experience.
