General Summary and Scope

The Fuel Dispatcher plays a critical role in ensuring the efficient and timely delivery of fuel across all Bennett Oil locations and contracted customers. This position is responsible for managing fuel inventories, dispatching loads, assisting with freight billing and coordinating with drivers, customers, and vendors to maintain seamless operations. The dispatcher must demonstrate strong decision-making skills, technical proficiency, and a deep understanding of regional transportation logistics. Accountability is key, as the role directly impacts operational efficiency, regulatory compliance, and customer satisfaction. Success in this position requires proactive communication, precise scheduling, and the ability to resolve issues swiftly in a fast-paced environment.

Key Responsibilities and Accountability Areas:

· Oversee Fuel Inventory and Load Dispatching:
Take full ownership of managing fuel inventory levels and coordinating dispatch operations for all Bennett Oil locations and designated contract customers, ensuring timely and efficient delivery.

· Assist with freight billing:

Assist Bennett Oil / American Transports freight billing team with invoicing during overlap hours with other dispatchers and weekends.

· Provide coverage for team members:

Maintain flexibility to work varying shifts, including nights, weekends, and holidays to ensure continuous operational coverage.

· Order Management and Carrier Coordination:
Accurately receive and process fuel orders from common carriers via phone and email, ensuring all requests are documented and fulfilled without delay.

· Optimize Routing and Scheduling:
Strategically plan and schedule fuel deliveries to minimize idle time and reduce deadhead miles, holding responsibility for maximizing fleet efficiency and cost-effectiveness.

· Driver Communication and Load Instructions:
Provide drivers with precise sourcing details and clear loading/unloading instructions, ensuring operational clarity and accountability for delivery accuracy.

· Customer Engagement and Fleet Productivity:
Maintain proactive communication with customers to support continuous fleet productivity across all shifts, taking the initiative to resolve issues and uphold service standards.

· Load Documentation and Compliance:
Ensure all load-related paperwork is processed accurately and submitted promptly, maintaining compliance with internal and regulatory requirements.

· Driver Support and Technical Assistance:
Serve as the primary point of contact for drivers experiencing ELD/HOS compliance issues, ensuring timely resolution and adherence to safety regulations.

· Payroll Coordination and Driver Records:
Maintain accurate records of driver schedules, mileage, and compensation data, ensuring timely and precise reporting to the payroll department.

· Stakeholder Relationship Management:
Foster and maintain strong, collaborative relationships with drivers, customers, vendors, and maintenance teams to support seamless day-to-day operations.

Qualifications

· Industry Experience:
Proven background in dispatching or logistics, preferably within the fuel or freight transportation sectors. Demonstrated ability to manage time-sensitive operations with precision and accountability.

· Regional Expertise:
In-depth knowledge of transportation routes, infrastructure, and regulatory considerations across Arizona and Nevada, ensuring efficient and compliant routing decisions.

· Technical Proficiency:
Skilled in the use of dispatching software, electronic logging devices (ELDs), and general Microsoft computer applications including email and spreadsheets. Able to troubleshoot and support technical systems used in daily operations.

· Effective Communication:
Strong verbal and written communication skills, with the ability to convey information clearly and professionally to drivers, customers, and internal teams.

· Decisive Problem Solving:
Demonstrated ability to assess situations quickly, make informed decisions under pressure, and maintain composure in high-stress environments.
