Facilities Administrator

Provide administrative and coordination support to the Engineering Department, ensuring accurate documentation and effective scheduling to meet project timelines.

Support procurement activities through the ERP system by preparing accurate, first-time-right purchase requisitions and orders in line with approved budgets and procedures.

Responsibilities:

• Schedule and coordinate engineering repair and maintenance work in line with approved plans and priorities.

•Ensure that engineering and maintenance areas are maintained in accordance with quality standards, SOPs, and safety requirements. •Report equipment faults, log maintenance requests, and follow up until repairs are completed. •Raise, place, and track orders for engineering consumables and services via the ERP system, ensuring accurate, first-time-right processing•Maintain a high standard of housekeeping and safety in the Engineering department in accordance with legislative, GMP, and company standards. •Support the coordination and documentation of Health and Safety actions and initiatives to ensure timely close-out. •Maintain accurate engineering logs, maintenance records, and compliance documentation. •Liaise with the Facility Manager regarding staffing requirements, schedules, and operational support needs•Assist the Facilities & Engineering Manager with administration activities. •Obtain and compare supplier quotations in line with procurement procedures. •Load purchase requisitions accurately on the ERP system. •Issue and distribute approved purchase orders to suppliers. •Liaise with Finance to arrange supplier payments. •Complete and capture Goods Received Notes (GRNs) upon completion of deliveries or services.

Requirements:

Essential

•Grade 12 certificate or equivalent•Basic computer literacy – MS Office (basic) and Outlook.•Knowledge of GMP.•Knowledge of health and safety.•1 year administration experience.

• Basic knowledge of Occupational Health & Safety and Environmental standards.

Desired

• Previous experience in coordination of projects and contractors.
