Duties/Pligte Coordination and Implementation of academic transcript recognition processes for submission to the CRC:

  • Coordinating and promotion of academic transcript recognition for suitable experiential learning initiatives within faculties and divisions across the University.
  • Coordinating and administration of all experiential learning for academic transcript recognition processes.
  • Coordinating experiential learning initiatives’ recognition renewals and portfolios of evidence submissions.
  • Collaborating with the Manager: Unit for Experiential Learning on the application processes for academic transcript recognition of freestanding experiential learning initiatives and activities within the institution.
  • Acting as advisor to staff and student recognition applicants: meeting with student experiential educators at least four times during the recognition application process.
  • Advising and assisting students with drafting experiential learning recognition application sections.
  • Collaboration with the Manager: Unit for Experiential Learning on coordinating Regulation Review Panel meetings and all experiential learning review matters.

Experiential Learning Advisor to experiential educators and student experiential educators:
  • Conducting annual onboarding training for all experiential educators and student experiential educators offering recognised initiatives.
  • Coordinating the biennial recognition renewal application for approved experiential learning initiatives.
  • Implementing training and support for student and staff experiential educators in the co-curriculum and learning validators to ensure the retention of student-led recognised co-curriculum programmes.
  • Acting as advisor to experiential educators to discuss their approved initiative; implementation processes and online/hybrid learning needs on SUNLearn; and implementation of effective assessment and quality assurance mechanisms.
  • Knowledge management of all experiential learning recognition evidentiary documentation and materials, meetings and requests as a secure experiential learning tracking mechanism and digital archive to various digital platforms such as OneDrive, SharePoint and SUNLearn.
  • Implementing the experiential learning competency framework as to be reflected in all approved programmes and on SUNLearn.
  • Ongoing development of audit process for the experiential learning recognition management system for all approved initiatives pertaining to all experiential educators: OneDrive; SharePoint and Teams, thereby creating a digital evidenced based system for internal and external audit purposes.

Coordination of Experiential Teaching and Learning Initiatives:
  • Coordinating and facilitation of the SUNLearn Designing for Transformative Learning (DTEL) online initiative.
  • Ensuring that the prospective applicants are offered the opportunity to be enrolled in the DTEL module after the first successful meeting/ expression of interest, and explaining the process that can lead to transcript recognition.
  • Coordinating and conducting mandatory check-ins with participants enrolled in the DTEL module at pre-determined points of the module.
  • Conducting presentations and information sessions with internal and external university partners regarding experiential learning recognition requirements and processes.
  • Evaluating and recording DTEL participants activity as assessment content to track module completion.
  • Coordinating, planning and implementing experiential learning training opportunities as per schedule.
  • Identifying experiential learning training needs and proposing these as initiatives for forthcoming training opportunities.
  • Coordinating experiential educator Connect training sessions for internal and external experiential educators.
  • Assisting Support Centres, Divisions and faculties with experiential learning and teaching recognition processes where called upon.

Coordination of the online platforms – SISS, SUNLearn, and related digital transcript recognition processes:
  • Monitoring and tracking adherence to SUNLearn and data privacy protocols for recognised initiatives.
  • Coordinating and tracking experiential educators using SUNLearn LMS as the primary tool for student communication, learning and assessment, and ensuring that all evidence of learning is visible on SUNLearn.
  • Coordinating and conducting semesterly check-ins with experiential educators regarding their SUNLearn module (continuous), and referring educators to the Centre for Learning Technologies for technical assistance where needed.
  • Tracking progression of each programme on SUNLearn every quarter, and timeously addressing potential student engagement challenges with the experiential educators.
  • SUNLearn and SISS stakeholder engagement to ensure that a mutually beneficial working relationship is formed by setting up annual meetings.
  • Liaising with SUNLearn and SISS stakeholders ensuring continuity of processes, procedures and communication of queries relating to academic transcript recognition and requisite evidence of learning.
  • Verification of recogised students conducted in partnership with SIS.
  • Coordinating final sign-off from SIS and providing feedback to experiential educators, evidence of students’ recognitions.
  • Conducting data verification for transcript recognition between November of the previous year and February of the following year.
  • Coordinating the recognition moderation process by April of the subsequent year and completing a recognition close-out report.

Quality assurance and moderation of recognised co-curriculum activities on the SUNLearn platform:
  • In partnership with the Manager: Unit for Experiential Learning, creating awareness and adherence to the quality assurance tools and mechanisms such as the Regulation document and recognition protocols.
  • Providing experiential educators, participants and partners with access to the Regulation for Co-curriculum Recognition during the application process.
  • Ensuring that experiential educators are informed and have signed the SUNLearn (DALRO) agreement, Access to Student Information Agreement (POPIA) and the EL Partnership Philosophy document.
  • Partnering with the MERL Coordinator that the M and E logic framework tool is completed by experiential educators for all recognition renewals and new recognition applicants before submission to the CRC.
  • Partnering with the MERL Coordinator in the annual monitoring and evaluation processes through providing the lists of recognised student names.
  • Overseeing students¿ access to the SUNLearn LMS to submit annual student feedback forms annually.
  • In partnership with the MERL Coordinator, assisting experiential educators to complete quality assurance instruments pertaining to academic transcript recognition such as the logic framework, student voice and evaluation forms, as well as initiative evaluations.
  • Conducting the quality assurance transcript recognition data analysis and making this available to the Manager: Unit for Experiential Learning.
  • Compiling tables/graphs illustrating the student throughput rate in CRC approved initiatives annually.
  • Compiling tables/graphs illustrating the distribution of recognition categories annually.
  • Reporting learning gaps in development within and after one cycle of approved initiatives.

Job Requirements/Pos Vereistes

  • Three-year graduate degree with job-relevant experience in a university.
