EXECUTIVE ASSISTANT TO THE MANAGING DIRECTOR

REFERENCE NUMBER: 08/2026

SALARY: MARKET RELATED (NEGOTIABLE)

Purpose: The personal Assistant to the Managing Director plays a pivotal role in ensuring the seamless operation of the office of the MD. This position provides high-level executives, administrative, and strategic support, enabling the MD to focus on organisational leadership, strategic direction and key business priorities.

Minimum Requirements:

Diploma (NQF level 6) or Degree (NQF level 7) in Office Administration, Business Administration, Public Administration, Management or related qualification. Honours Degree (NQF level 8) in Office Administration, Business Administration, Public Administration, Management or related qualification will be an added advantage. 3-5 years’ experience in Executive Assistant/ Personal Assistant role at an executive level. High level knowledge of computer literacy including proficiency in MS Word, MS Excel, PowerPoint and MS Outlook. A valid driver’s licence.

Key Responsibilities:

Administrative & Office Support: Manage executive calendars, appointments, and meetings. Screen calls, emails, and correspondence. Prepare reports, presentations, and official documents. Maintaining filing systems and confidential records.

Communication & Coordination: Act as the first point of contact for the executive. Liaise with internal departments and external stakeholders. Organize meetings, prepare agendas, and record minutes. Follow up on tasks and deadlines.

Travel & Logistics: Arrange business travel (flights, Accommodations, transport). Prepare travel, itineraries and briefing packs. Handle travel claims and expense reports. Book flights, accommodation, and transport. Coordinate visas, travel documents.

Project & Operational Support: Assist with projects, research, and reporting. Track progress on key deliverables. Support implementation of business strategies.

Confidentiality & Professionalism: Handle sensitive information with discretion. Maintain a high level of trust, integrity, and professionalism. Anticipate needs and act proactively.

Personal Support: Manage the Managing Director’s personal calendar and appointments.
