This is a remote position.

  • Proactively manage and prioritize the CEO's calendar, coordinate meeting logistics across varying time zones, and decisively resolve scheduling conflicts.

  • Flawlessly plan and book domestic and international travel itineraries (flights, visas, accommodation), building agile contingency plans for sudden or last-minute changes.

  • Attend or dial into key executive meetings, record accurate minutes, rigorously track action items, and perform strict follow-ups to guarantee deliverables are completed on schedule.

  • Draft, format, and polish high-impact PowerPoint presentations, executive summaries, and proposals tailored from briefs, data, or rough concepts provided by the CEO.

  • Prepare and refine business reports, board updates, and official correspondence in an impeccably professional tone, ensuring company-wide consistency and accuracy.

  • Screen, draft, and respond to incoming emails and messages on behalf of the CEO, strategically flagging high-priority line items for direct attention.

  • Maintain a rigorous running log of all delegated tasks, milestones, and deadlines across both business and personal dimensions, ensuring nothing falls through the cracks.

  • Serve as a highly professional first point of contact for internal team members, partners, and external stakeholders, communicating information with clarity and diplomacy.

  • Manage highly sensitive corporate, financial, and personal information with the highest levels of discretion, loyalty, and ethical judgment.

  • Efficiently execute personal errands, track personal appointments, and handle administrative requests, seamlessly balancing them alongside core business priorities.

  • Requirements

  • Must possess a Bachelor’s degree in Business Administration, Office Management, or a related field.

  • 1 to 3 years of experience as an Executive Assistant, Personal Assistant, or similar operational administrative role (experience directly supporting C-level executives is highly preferred).

  • Highly tech-savvy and proficient with the Microsoft Office Suite (PowerPoint, Word, Excel, Outlook), Adobe Acrobat, CRM systems, project trackers, and digital calendar management tools (Google Calendar, Microsoft Planner).

  • Demonstrated proficiency with advanced AI efficiency tools like Claude and Copilot to streamline research and workflows.

  • Exceptional organizational skills with a proven track record of managing multiple overlapping priorities, deadlines, and cross-functional tasks concurrently.

  • Meticulous attention to detail, particularly in writing, proofreading, and structuring executive documents destined for senior partners or investors.

  • Excellent interpersonal communication skills and a professional demeanor suited to liaising with high-level external stakeholders and corporate entities.
