We are seeking a highly organised, proactive, and personable Executive Assistant to support the Director of Operations at a busy ABA clinic. This role is ideal for someone who is professional, level-headed, emotionally intelligent, and able to manage multiple priorities in a fast-paced healthcare environment. The successful candidate will act as a key support to the Director of Operations, helping with administrative coordination, communication, scheduling, follow-ups, and general operational support. We are looking for someone with a strong “head on their shoulders” — someone who can think ahead, use initiative, remain calm under pressure, and communicate confidently with staff, families, and external stakeholders.
Key Responsibilities
- Provide day-to-day administrative and executive support to the Director of Operations.
- Manage calendars, schedule meetings, coordinate appointments, and assist with daily planning.
- Prepare documents, reports, meeting notes, agendas, and follow-up items.
- Assist with internal communication between clinical, administrative, and operations teams.
- Liaise professionally with staff, families, vendors, and external partners when required.
- Track tasks, deadlines, and action items to ensure nothing falls through the cracks.
- Support clinic operations by helping coordinate workflows, documentation, and administrative processes.
- Assist with onboarding coordination, staff communication, and general HR/admin-related tasks where needed.
- Maintain confidentiality when handling sensitive client, staff, and clinic information.
- Help identify operational gaps and support the implementation of smoother processes.
- Handle ad hoc administrative and operational tasks as required by the Director of Operations.
Requirements
- Previous experience as an Executive Assistant, Personal Assistant, Office Manager, Administrative Coordinator, or similar role.
- Experience in a healthcare, therapy, clinic, or ABA environment is advantageous but not essential.
- Strong organisational and time-management skills.
- Excellent written and verbal communication skills.
- Professional, warm, and personable demeanour.
- Ability to stay calm, composed, and solution-focused under pressure.
- Strong attention to detail and ability to follow through on tasks.
- Able to work independently, take initiative, and anticipate needs.
- Comfortable managing confidential information with discretion.
- Tech-savvy and comfortable using scheduling, communication, and document-management systems. A mature, reliable, and grounded personality with good judgement.
