JOB DESCRIPTION: DISPATCH MANAGER (CLOTHING)
Job Title: Dispatch Manager
Department: Warehouse / Logistics / Distribution
Reports To: Operations Manager / Warehouse Manager
Job Purpose
The Dispatch Manager is responsible for managing the accurate, timely, and efficient dispatch of clothing orders, ensuring correct picking, packing, and delivery while maintaining product quality and customer satisfaction.
Key Responsibilities
Order Fulfilment & Dispatch
- Oversee picking, packing, and dispatch of garments.
- Ensure correct items, sizes, colours, and quantities are dispatched
- Ensure all orders are dispatched within agreed timelines
Fabric & Garment Handling
- Ensure proper handling of garments to prevent damage (tears, stains, creasing)
- Monitor packaging standards
- Ensure correct labelling (SKU, size, colour, batch numbers)
Logistics & Delivery Coordination
- Plan delivery routes and schedules
- Coordinate with drivers, couriers, and transport providers
- Track deliveries and resolve delays or issues
Team Supervision
- Supervise dispatch staff, pickers, packers, and drivers
- Allocate daily tasks and monitor productivity
- Train staff on handling garments correctly
Inventory & Accuracy Control
- Work closely with warehouse/inventory teams
- Conduct dispatch checks to prevent errors
- Minimize returns due to incorrect orders
Quality Control & Compliance
- Ensure quality checks before dispatch
- Handle customer complaints related to dispatch errors
- Ensure compliance with company procedures and safety standards
Documentation & Reporting
- Maintain dispatch records (invoices, delivery notes, waybills)
- Track KPIs such as:
- Order accuracy
- On-time dispatch rate
- Returns due to dispatch errors
- Prepare daily/weekly reports
Skills & Competencies
- Strong attention to detail (critical for sizes, colours, fabric lengths)
- Knowledge of textiles and garment handling
- Leadership and team management skills
- Good planning and organizational ability
- Problem-solving and decision-making skills
- Ability to work in a fast-paced environment
Qualifications & Experience
- Diploma or degree in Logistics, Supply Chain, Fashion/Textiles, or related field (preferred)
- 3–5 years’ experience in dispatch, warehouse, or distribution
- Experience in clothing, textile, or retail industry (highly advantageous)
- Supervisory or management experience required
Systems & Tools
- Inventory or ERP systems
- Microsoft Excel
- Barcode scanning systems (if applicable)
Working Conditions
- Fast-paced warehouse or distribution environment
- May require overtime during peak seasons (e.g., promotions, holidays)

Additional Notes
- Must ensure careful handling of high-value fabrics and garments
