Job Description
We are seeking a dynamic and detail-oriented Customer Service & Marketing Assistant to join our team. This role combines customer service, client engagement, administrative coordination, and creative marketing tasks. The ideal candidate will be enthusiastic about building strong client relationships, ensuring smooth daily operations, and contributing to lead generation through consistent and engaging social media content. Key Responsibilities
Customer Service & Client Engagement
- Respond to inbound inquiries via phone, email, chat, or social media.
- Send a personalized follow-up text/email to each new client within five minutes after class to thank them.
- Call clients to inquire about their recent experience and anticipated return to the studio.
- Call current members to identify opportunities to enhance their experience.
- Contact founding members monthly to check in, maintain strong relationships, and request updated bios when needed.
- Respond promptly to emails and coordinate private session inquiries for clients.
- Process late cancellation payments daily by 6:45 PM.
- Provide accurate product/service information and guide potential customers through the buying process.
- Track customer interactions and update CRM systems with detailed notes.
Executive and Administrative Support
- Serve as Executive Assistant to the CEO, managing calendars, scheduling appointments, and coordinating meetings.
- Schedule virtual CEO meetings on Thursdays between 8:30 AM and 10:00 AM.
- Pull payroll at the end of each cycle and upload the PDF to the designated folder.
- Request staff availability each month, create the monthly class schedule in Mindbody, and manage substitute instructor changes.
- Draft, design, and distribute the monthly newsletter.
- Maintain digital filing systems and ensure records are up to date.
- Organize travel arrangements, prepare meeting agendas, and take minutes during meetings.
- Prepare internal reports or client-facing documentation as needed.
- Coordinate other administrative or marketing-related tasks as assigned.
Marketing & Content Creation
- Assist with the development, creation, and scheduling of social media posts to support lead generation.
- Post one TikTok video daily aligned with brand strategy.
- Create, submit for approval, and post content Monday–Thursday each week for Instagram, Facebook, and other platforms as needed.
- Monitor social media accounts, engage with followers, and respond to comments/messages to build community and visibility.
- Repost social media content we are tagged in that positively represents the brand and adheres to studio guidelines.
- Engage by commenting under posts related to Evolve Pilates to foster brand presence.
- Create simple graphic content using tools like Canva or Adobe Express.
- Collaborate with the marketing team to support campaigns, promotions, and the monthly newsletter.
Preferred Skills
- Proficient with productivity tools (Google Workspace, Microsoft Office, Mindbody, Shopify, CRM platforms).
- Familiarity with Mindbody software strongly preferred.
- Experience in social media content creation and engagement (TikTok, Instagram, Facebook).
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
